Job Description Position Summary

The Chief of Staff to the VP - Head of A320 VSM Mobile is responsible for daily business activities and a wide range of comprehensive operational duties. They will handle large amounts of confidential data/information and must be organized and structured to deliver prepared scenarios for decision making. They will be responsible for communicating in a multicultural environment at all hierarchical levels of the company in order to coordinate cross‑functional and transnational interfaces. They must have an awareness of any potential compliance risks and a commitment to act with integrity, as the foundation for the Company’s success, reputation and sustainable growth and awareness. Flexibility of working is expected to support different time zones and work schedules as well as the ability to travel both domestically and internationally.

Primary Responsibilities
  • Support the VP in day to day activities, anticipating pre‑work needed such as preparing scenarios, decision‑ making or presentations, material accordingly

  • Support the VP with daily business activities, including but not limited to transnational, confidential, and strategic topics, Airbus wide, studying, filtering and prioritizing working files, providing recommendation to the VP and follow up local implementations of decisions preparing for regular /ad hoc meetings of the VP by gathering and/or creating all relevant materials (scenario, decision‑making materials or presentation material) liaising with relevant stakeholders on various topics/events and/or ensure deliverables reports/deadlines are met

  • Manage the coordination of cross‑functional and transnational interfaces, being able to manage a broad network at all hierarchical levels to collect views from bottom‑up approach

  • Lead some specific action plans/projects and supporting the N‑1 management team of the VP

  • Provide guidelines for the prioritization of the calendar for the VP - anticipate and suggest solutions form overlapping issues, optimize day and week workload, inform meetings’ attendants accordingly if needed in coordination with the Administrative Support.

  • Manage that the VP time management allows the VP to deal with priorities in a fast paced environment

  • Collection & Analysis of information to support or recommend decision making

  • Coordinate briefing requests for meeting preparation

  • Organize meetings, team events and welcome external guests

  • Type, format, distribute, organize and archive official documents using the up‑to‑date Airbus templates

  • Support cascading of managerial administrative tasks. Follow‑up actions form meetings, information sharing (i.e. mail distribution and management).

  • Stakeholder management in support to the VP: liaise regularly and act as an interface with other executive offices including EA/COS, N‑1 offices. Influencing key stakeholders and fostering relationships to deliver reliably.

Required Education
  • Bachelors Degree or Equivalent Experience

  • Minimum 10 years work experience, preferably in an Industrial/Operations environment
  • Experienced handling large amounts of data and analysis
  • Proven Project or Program management experience (preferred)
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi task and prioritize work
  • Attention to detail and solid problem solving skills
  • Working experience in international context and highly complex matrix organizations event management experience desirable
