Executive Assistant

We are seeking a detail-oriented Executive Assistant to support our Senior Leadership team. The ideal candidate will be proactive, highly organized, and able to manage multiple priorities. The Executive Assistant will handle a range of administrative duties, manage daily schedules, coordinate travel, prepare documents, and serve as a key point of contact for internal and external stakeholders.

Key Responsibilities
  • Calendar Management : Organize and manage the executive’s schedule, including meetings, appointments, and travel arrangements, ensuring effective time management.
  • Communication : Serve as a liaison between the executive and internal/external stakeholders. Screen calls, emails, and requests, responding on behalf of the executive when appropriate.
  • Meeting Coordination : Arrange and prepare for meetings, including setting up conference rooms, preparing agendas, compiling materials, and recording minutes as needed.
  • Travel Arrangements : Plan and coordinate domestic and international travel, including booking flights, accommodations, and ground transportation.
  • Document Preparation : Prepare, edit, and format documents, reports, presentations, and correspondence with accuracy and attention to detail.
  • Project Assistance : Assist with special projects and research tasks, ensuring timely completion and keeping the executive informed of project status.
  • File and Record Management : Organize and maintain files, records, and other important documentation, both physical and digital.
  • Expense Tracking : Manage and submit expense reports and track reimbursements according to company policies.
  • Confidentiality : Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Process Improvement : Identify and implement ways to improve administrative processes for greater efficiency.
Key Qualifications
  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior executives.
  • Proficiency with office productivity tools, including Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management software.
  • Excellent written and verbal communication skills, with strong attention to detail.
  • Highly organized and able to multitask effectively in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.
  • Strong time management and problem-solving skills, with the ability to anticipate needs and stay ahead of tasks.
