    Under the guidance and direction of the Chief Technology, Product & AI Officer, the Operations Coordinator & Executive Assistant serves as a key operational partner supporting the CTO. The daily focus for this role is structured as approximately 60% Operations Coordinator and 40% Executive Assistant, driving cross-functional project tracking to advance key technology initiatives This high-visibility role provides comprehensive, high-level administrative and operational support while handling sensitive strategic, technology, and personnel information with complete discretion and precision. Manages competing priorities, anticipates executive needs, leads meeting support logistics, and drives cross-functional project tracking to advance technology initiatives.

    Essential Duties and Responsibilities

  • Calendar & Schedule Management: Own and orchestrate complex executive calendars, scheduling across multiple time zones while protecting dedicated focus time.
  • Travel & Expense Coordination: Plan endtoend domestic and occasional international travel including itineraries, flights, lodging, and ground transport; process and reconcile expense reports accurately and on time.
  • Executive Communications & Gatekeeping: Act as primary point of contact, triaging emails, screening requests, drafting correspondence, and acting as a tactful liaison with internal and external stakeholders.
  • Operations & Project Tracking: Drive followthrough on action items across technology and product initiatives, keeping projects on schedule and stakeholders aligned.
  • Meeting Preparation & Documentation: Prepare agendas, capture and distribute detailed meeting notes, and ensure execution of key decisions and next steps.
  • Information Security & Discretion: Maintain strict confidentiality regarding sensitive technology, strategic, and personnel matters.
  • Ad Hoc Support: Conduct ad hoc research, manage special projects, and adapt quickly to shifting executive priorities.

    The requirements listed below are representative of the knowledge, skill, and/or ability required:

  • Experience: Executive assistant experience supporting Csuite leaders, preferably within financial services, fintech, specialty finance, or lending environments.
  • Education & Background: Bachelor's degree or equivalent professional background supporting highlevel executive leadership in fastpaced organizations.
  • Computer & Tech Skills: Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, PowerPoint, Excel), experience with AI productivity tools, and comfort learning digital workflow applications.
  • Availability: Reliable availability from 9:00 AM EST to 6:00 PM EST, regardless of location (candidates may live in any U.S. state), with occasional flexibility during travel or key tech initiative cycles.
  • Work Environment & Physical Demands

    Location: This position is 100% remote within the United States (open to residents of any U.S. state).

    Physical Requirements: The employee is regularly required to sit at a desk, work on a computer, and communicate via phone and video conferencing tools.

    Effort: The employee must be able to occasionally move standard office materials weighing up to 10 pounds.

    Supervisory: This position has no direct supervisory responsibilities.
