Job description

Executive Assistant/Office Manager

Salary: $75,000-$80,000

Location: Manhattan

 

We are in search of an Executive Assistant for our client, a privately owned real estate and insurance company.   In this role you will support the CEO in a fast-paced, high-demand environment. Exceptional attention to detail, discretion, strong organizational skills, and the ability to manage multiple priorities independently are required.  The Ideal candidate should be proactive, able to take ownership, and communicate effectively.

 

Executive Support

  • Manage CEO calendar, appointments, and correspondence
  • Coordinate meetings, prepare documents, and draft professional correspondence/legal documents
  • Prepare leases, renewals, filings, and applications
  • Maintain condominium records and compliance documentation
  • Track COIs, tenant insurance, and vendor insurance expirations
  • Coordinate with attorneys, accountants, vendors, property managers, insurance carriers, and clients
  • Process renewals and maintain policy records
  • Manage personal bill payments, insurance renewals, and financial records

Accounting/Financial/HR Administration

  • Process AP/AR and bookkeeping functions
  • Reconcile bank accounts, credit cards, and financial records
  • Utilize QuickBooks Desktop for daily accounting activities
  • Process payroll and benefits administration
  • Support 401(k), insurance enrollments, and employee records

Qualifications

  • 5+ years of Executive Assistant or Office Manager experience supporting senior executives
  • Strong calendar management and high-volume communication experience
  • Excellent organizational, multitasking, and problem-solving skills
  • Ability to work independently in a demanding environment
  • Microsoft Outlook, Word, and Excel (intermediate to advanced), Adobe Acrobat, and QuickBooks Desktop
