Overview:

The Executive Assistant, Supply Chain provides comprehensive administrative and operational support to the Senior Vice President of Supply Chain and the Supply Chain Leadership Team. This role serves as a trusted business partner, ensuring the efficient execution of daily operations, supporting strategic initiatives, and maintaining the highest level of professionalism and confidentiality.

The Executive Assistant is a highly organized, proactive, and resourceful professional who effectively manages executive calendars, coordinates meetings and events, prepares reports and presentations, and facilitates communication across teams and functions. The role is instrumental in supporting leadership effectiveness by ensuring priorities are organized, deadlines are met, and information flows seamlessly throughout the organization.

In addition, the Executive Assistant assists in documenting, maintaining, and improving Supply Chain policies, processes, procedures, and best practices. This position requires exceptional attention to detail, strong organizational and communication skills, and the ability to manage multiple priorities in a fast-paced environment while handling sensitive and confidential information with discretion and sound judgment.

Key Fundamental Skill Sets for this role:

  • Support the Supply Chain Leadership Team with calendar management, scheduling, and coordination with other executive assistants.
  • Ensure Supply Chain leaders are fully prepared for meetings, business reviews, and events by providing all necessary materials, agendas, and supporting information.
  • Coordinate meeting logistics, including conference room scheduling, video conferencing, telepresence setup, audiovisual equipment, and other meeting requirements.
  • Maintain and organize Supply Chain records, documentation, files, and confidential information in both electronic and hard-copy formats.
  • Prepare, update, and distribute Supply Chain policies, procedures, process documentation, and related materials.
  • Respond to requests from Supply Chain team members and provide timely and accurate information or direct inquiries to the appropriate resources.
  • Coordinate Supply Chain projects, leadership meetings, off-site events, and related activities.
  • Prepare reports, presentations, dashboards, and communication materials for leadership meetings and internal communications.
  • Manage departmental office supply ordering and maintain inventory oversight for the Supply Chain organization.
  • Support day-to-day Supply Chain administrative operations, including coordinating onboarding activities for new team members within the function.
  • Maintain organizational charts, distribution lists, team rosters, and departmental databases, ensuring information remains accurate and up to date.
  • Assist with the collection, compilation, and preparation of operational data, performance metrics, and other information required for business reviews, budget planning, and leadership reporting.
  • Coordinate travel arrangements, expense reports, and other administrative activities for the SVP Supply Chain and Supply Chain Leadership Team.
  • Support continuous improvement initiatives by documenting and maintaining Supply Chain processes, best practices, and standard operating procedures.
  • Manage sensitive and confidential business information with the highest degree of professionalism, discretion, and integrity.
  • Open, sort and distribute incoming correspondence

Requirements:

  • Preferred to have bachelor's degree in business management, communications or related field
  • 3+yrs experience in business administration, including experience with C-level administrative support
  • Proven work experience as an administrative assistant or HR administrator
  • PC/AI literacy and experience with MS Office applications
  • Experience managing multiple calendars
  • Ability to work within and meet deadlines
  • Excellent organizational and time-management skills
