About the Role
A & Associates is seeking a polished, highly organized, and technology-forward Executive Coordinator to support our Chief Executive Officer and corporate office.
This is more than a traditional administrative position. The Executive Coordinator will work closely with the CEO to coordinate priorities, maintain follow-through, support business initiatives, organize and analyze information, and help ensure important matters continue moving forward.
The ideal candidate understands business, exercises sound judgment, communicates professionally, and knows how to use modern technology - including artificial intelligence (AI) tools - to research, organize, analyze, communicate, and work more efficiently.
Candidates must have professional experience in accounting/finance, business development/sales, or staffing/workforce services. Experience spanning two or more of these areas is strongly preferred.
What You'll Do - Executive & Business Coordination
  • Provide direct day-to-day coordination and administrative support to the CEO.
  • Manage executive priorities, correspondence, follow-ups, meetings, and action items.
  • Coordinate information between the CEO, corporate leadership, departments, clients, and outside business partners.
  • Prepare and organize reports, correspondence, presentations, spreadsheets, meeting materials, and other business documents.
  • Track assignments, commitments, deadlines, and outstanding items through completion.
  • Assist with meeting preparation, notes, action items, and post-meeting follow-through.
  • Maintain organized and accurate executive and business records.
  • Handle sensitive and confidential information with discretion.

Business, Research & Operational Support
  • Assist the CEO with business-development, sales, staffing, financial, and operational initiatives.
  • Conduct business, prospect, market, and company research and organize findings for executive review.
  • Track client opportunities, follow-ups, business relationships, and priority projects.
  • Coordinate with internal departments to obtain information and keep executive initiatives moving.
  • Review information for completeness and identify outstanding items requiring follow-up.
  • Use appropriate AI-enabled tools to assist with research, information organization, data analysis, drafting, summarization, workflow, and productivity.
  • Review and validate AI-assisted work for accuracy, completeness, confidentiality, and professional quality before use.
  • Assist with special projects and changing executive priorities.

Accounting & Financial Coordination
Depending on experience, responsibilities may include:
  • Assisting with financial reports, spreadsheets, reconciliations, and supporting documentation.
  • Organizing accounting and financial information for executive review.
  • Tracking invoices, payments, expenses, or other financial information as assigned.
  • Coordinating with accounting and corporate personnel regarding outstanding financial matters.
  • Maintaining accurate and confidential financial records and supporting documentation.

What You BringRequired Qualifications
  • Professional experience in at least one of the following areas:
  • Accounting, bookkeeping, finance, or financial administration
  • Business development or sales
  • Staffing, recruiting, or workforce services
  • Strong executive-level organization and follow-through.
  • Excellent written and verbal communication skills.
  • Strong Microsoft Office skills, particularly Excel, Word, Outlook, and PowerPoint.
  • Demonstrated ability to effectively use AI-enabled business tools in a professional work environment.
  • Ability to use AI appropriately for research, drafting, summarization, analysis, organization, workflow, and productivity.
  • Ability to critically review AI-generated information rather than relying on it without verification.
  • Ability to organize, analyze, and present business information accurately.
  • Strong attention to detail and ability to manage multiple priorities.
  • Professional judgment and discretion when handling confidential information.
  • Ability to work independently while remaining responsive to executive priorities.

Preferred Qualifications
  • Experience supporting a CEO, President, senior executive, or executive leadership team.
  • Experience across two or more of the following: accounting/finance, business development/sales, and staffing.
  • Advanced Microsoft Excel proficiency.
  • Experience with Salesforce or another CRM platform.
  • Experience with JazzHR or another Applicant Tracking System (ATS).
  • Experience integrating AI-enabled tools into day-to-day business workflows.
  • Experience preparing executive reports, presentations, financial summaries, or business-development materials.

Compensation
