StevenDouglas is partnering with a growing and dynamic organization in the Fort Lauderdale area seeking a highly polished Executive Assistant to support senior leadership in a fast-paced, high-exposure environment.


This role is ideal for a proactive, detail-oriented professional who thrives in a position requiring exceptional organization, discretion, and the ability to anticipate needs before they arise. The Executive Assistant will serve as a trusted partner to executive leadership while managing complex scheduling, travel coordination, administrative operations, and critical business support functions.


Key Responsibilities

  • Provide high-level administrative support to senior executives, acting as a trusted extension of the leadership team
  • Manage complex calendars, meetings, and daily schedules while prioritizing competing demands
  • Coordinate domestic and international travel arrangements, including full itinerary preparation and ground transportation logistics
  • Serve as a gatekeeper for incoming communications, phone calls, and executive correspondence
  • Process expense reports and manage related administrative documentation
  • Maintain highly organized electronic and physical files while ensuring confidentiality and accuracy of sensitive information
  • Prepare, edit, and manage business documents including legal notices, confidentiality agreements, and internal correspondence
  • Support contract administration, file management, and maintenance of shared company documentation systems
  • Partner cross-functionally with internal departments to coordinate document approvals, signatures, and routing processes
  • Assist with transactional and project-based support, including coordination with external counsel and preparation of closing documentation related to acquisitions and dispositions
  • Coordinate meeting logistics including conference room setup, preparation of materials, and follow-up support as needed


Qualifications

  • 4+ years of experience supporting C-suite or senior executive leadership
  • Prior experience in a fast-paced corporate, private equity, legal, financial services, or professional services environment preferred
  • Experience supporting contracts, legal documentation, transaction support, or contract management strongly preferred
  • Proven ability to handle confidential information with professionalism and discretion
