Job description

Care with Dignity at Home® is a trusted non-medical home care agency based in Stafford, Virginia, dedicated to providing compassionate, personalized care that allows individuals to remain safe, comfortable, and independent in their own homes.  We are growing and is currently looking for a Staffing Coordinator to grow with us.  

Position Summary:
The HR Coordinator / Home Care Scheduler is responsible for managing caregiver schedules, ensuring full shift coverage, and supporting HR compliance for a non-medical home care agency. This role requires strong organizational skills, real-time problem-solving, and the ability to coordinate effectively with caregivers, clients, and leadership to ensure continuity of care.
 
Key Responsibilities:
Scheduling & Operations
-Create, maintain, and adjust caregiver schedules using scheduling software (e.g., WellSky)
-Ensure all client shifts are fully staffed and covered at all times
-Respond to call-outs, late arrivals, and schedule gaps in real time
-Coordinate replacement caregivers for last-minute changes
-Match caregivers to clients based on skills, availability, and compatibility
-Monitor overtime and manage schedules to control labor costs
 
Client & Care Coordination
-Communicate schedule updates to clients and families professionally
-Ensure authorized hours (HHA/Respite/Private Pay) are scheduled accurately
-Support onboarding of new cases and ensure timely start of care
-Coordinate with RN or leadership for schedule adjustments when needed
 
HR Support & Compliance
-Maintain caregiver files (background checks, TB tests, certifications)
-Track and ensure compliance with state regulations and company policies
-Assist with onboarding, including documentation and system setup
-Monitor caregiver attendance, punctuality, and performance concerns
 
Administrative Duties
-Maintain accurate documentation in scheduling and HR systems
-Assist with reporting (hours worked, staffing metrics, call-outs)
-Support office operations as needed
 
Qualifications:
-Experience in home care scheduling or healthcare staffing preferred
-Knowledge of EVV/scheduling systems (WellSky strongly preferred)
-Strong multitasking and problem-solving skills
-Excellent communication and interpersonal skills
-Proficiency in Microsoft Office (Excel, Outlook)
-Ability to work in a fast-paced, high-demand environment

-Fast-paced office setting with frequent phone and computer use
-May require rotating on call
