Job Description

The University of Notre Dame Operations, Events, and Safety (UOES) division is currently hiring for full-time Front Desk Supervisor within the Morris Inn in our campus Hospitality department. The UOES Division oversees the University's event management, hospitality, and customer service functions, while also supporting student life, academic initiatives, research activities, and annual milestone celebrations.

The Morris Inn is a AAA Four Diamond Hotel and sits at the heart of Notre Dame's storied campus. It continues to be the "living room" of the University of Notre Dame where guests will find the perfect atmosphere in which to enjoy a business lunch, family gathering, special occasion or a casual meal. 

Front Desk Supervisor

The Front Office Supervisor is a high-impact, "working supervisor" who leads by example from the front lines. This role balances administrative oversight with direct guest interaction, checking guests in and out while simultaneously monitoring the flow of the lobby and front drive. As the primary mentor for Guest Service Associates, the Supervisor ensures that the highest level of service is maintained across every shift. They serve as a vital support bridge for the management team, stepping in to coordinate VIP arrivals and high-profile University constituent needs with the same precision and care as the Operations Coordinator.

Key Responsibilities:

  • Perform all Guest Service Associate functions, including guest registration, room assignments, and check-outs, with the highest level of accuracy and warmth. 
  • Manage guest billing, room changes, and service recovery efforts in real-time. 
  • Monitor the lobby environment and front drive to ensure guest flow is efficient and staff are positioned correctly during peak times. 
  • Step in to assist with parking and valet coordination during high-volume periods or staffing gaps.
  • Directly oversee the training of all new GSAs, walking them through the Morris Inn service journey and technical systems. 
  • Act as a peer coach, providing immediate feedback to associates to sharpen their service skills and technical accuracy. 
  • Update training checklists and ensure all departmental SOPs are being communicated and followed at the desk.
  • Assist the Room Operations Coordinator in preparing for VIP arrivals, including room inspections and the placement of personalized amenities. 
  • Serve as the primary point of contact for VIPs and University constituents when the Operations Coordinator or Managers are unavailable. 
  • Ensure that all special requests and high-profile guest preferences are communicated to the relevant departments.
  • Assist Operations Managers with desk-related administrative tasks, such as inventory, supply ordering, and shift reporting. 
Qualifications
  • Capable of managing time effectively with minimal supervision
  • Excellent communication and listening skills
  • Ability to maintain a standing position for extended periods of time (up to 6 hours at a time)
