Position Summary

The MAASAI Group, LLC (TMG), a Service-Disabled Veteran-Owned Small Business (SDVOSB) and Top Secret Facility Cleared federal contractor, is seeking a highly organized, professional, and customer-focused Confidential Executive Assistant to support the 55th Wing Office of the Staff Judge Advocate (55 WG/JA) at Offutt Air Force Base, Nebraska.

The Confidential Executive Assistant serves as a trusted administrative professional responsible for providing executive-level support to senior legal leadership and staff. This position requires exceptional organizational skills, sound judgment, discretion, attention to detail, and the ability to manage multiple priorities while handling sensitive and confidential Government information.

The successful candidate will serve as an integral member of the legal office, ensuring efficient daily operations through superior administrative support, professional communication, and exceptional customer service.

Essential Duties and Responsibilities

The selected candidate will:

  • Provide executive administrative support to the Staff Judge Advocate and legal office leadership.
  • Manage executive calendars, schedules, appointments, and meeting coordination.
  • Prepare, edit, proofread, and distribute correspondence, memoranda, reports, briefings, and other official documents.
  • Coordinate meetings, conferences, and official events, including preparation of agendas and meeting materials.
  • Maintain electronic and hard-copy filing systems in accordance with Air Force records management policies.
  • Receive, screen, and route telephone calls, visitors, and official correspondence.
  • Coordinate Government travel arrangements and assist with travel documentation and voucher preparation using Government travel systems.
  • Maintain office calendars and suspense tracking systems to ensure timely completion of administrative actions.
  • Process incoming and outgoing mail, correspondence, and official documentation.
  • Maintain office supply inventories and coordinate procurement of administrative supplies.
  • Protect sensitive, confidential, and Privacy Act information while ensuring compliance with all applicable regulations.
  • Provide courteous, professional customer service to military personnel, civilian employees, and external stakeholders.
  • Assist with special projects and perform additional administrative duties as assigned by Government leadership.
Required Qualifications

Candidates must possess:

  • High school diploma or equivalent.
  • Minimum of one (1) year of administrative, clerical, or executive support experience.
  • Minimum of one (1) year of experience working in a military, federal government, or comparable professional environment.
  • Proficiency using Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Ability to work independently with minimal supervision.
  • Ability to exercise sound judgment and maintain strict confidentiality.
  • Ability to obtain and maintain required installation access and Government credentials.
Preferred Qualifications

Preference may be given to candidates with:

  • Experience supporting Department of Defense or U.S. Air Force organizations.
  • Experience supporting legal offices or executive leadership.
  • Familiarity with Department of Defense administrative procedures.
  • Experience using Defense Travel System (DTS).
  • Experience with Air Force records management policies and electronic filing systems.
  • Active security clearance or previous eligibility for a Government background investigation.
