The Events and Sponsorships Associate plays a key role in planning and executing the firm's national and regional events, sponsorships and charitable initiatives. Working closely with the Regional Marketing team, this role independently manages assigned programs from planning through execution, collaborating with internal stakeholders and external partners to deliver exceptional experiences that strengthen client relationships and support the firm's marketing and business development objectives.
Position Overview
The Events and Sponsorships Associate reports to the Regional Marketing Director and works in close partnership with the Events and Sponsorships Manager as part of the Regional Marketing team. This role supports the execution of the firm's national and regional events, sponsorships and charitable initiatives by delivering exceptional project management, coordination and operational excellence across a broad portfolio of marketing programs.
In this position, you will independently manage the planning and execution of assigned live, virtual and hybrid events-including educational programs, client events, sponsorship activations, employee events and conferences-from initial planning through post-event evaluation. You will manage project plans and timelines, coordinate logistics and vendors, oversee attendee management, track budgets and expenses, support event communications, and help ensure every program is delivered on time, within budget and to the firm's high standards.
You will also support the execution of the firm's sponsorships and charitable giving initiatives by coordinating deliverables, maintaining relationships with external organizations and vendors, and ensuring opportunities are executed in accordance with firm standards, regulatory requirements and marketing objectives. The Associate is expected to work independently on assigned initiatives while collaborating closely with the Events and Sponsorships Manager on priorities, execution and continuous improvement, contributing recommendations that enhance the quality, efficiency and effectiveness of the firm's events and sponsorship programs.
How You Will Add Value
  • Plan and execute assigned events, sponsorships and charitable initiatives that support the firm's regional and national marketing objectives and foster meaningful engagement with clients, prospects and industry partners.
  • Independently manage assigned projects from planning through execution, including project plans, timelines, budgets and post-event follow-up, ensuring initiatives are delivered on time and within budget.
  • Coordinate all event logistics, including but not limited to venue sourcing, catering, audiovisual production, transportation, materials production, gifting, onsite staffing and event execution.
  • Support agenda development by coordinating with internal stakeholders, content providers and external speakers to ensure all program content is delivered accurately and on schedule.
  • Develop and deploy event communications, including invitations, registration materials, attendee communications and post-event follow-up, ensuring consistency with firm branding and messaging.
  • Coordinate sponsorship activation deliverables, ensuring contractual obligations, branding opportunities and marketing benefits are executed accurately and on schedule.
  • Maintain project budgets, process invoices, reconcile expenses, and track event metrics, attendee information and other program data.
  • Partner with colleagues across Marketing and business lines to coordinate activities and ensure a consistent, high-quality client experience across all programs.
  • Coordinate with internal partners-including Compliance, Legal, Procurement, Finance, Communications and Facilities-to ensure all initiatives meet corporate and regulatory requirements.
  • Manage relationships with external vendors, venues and service providers to support the successful execution of events and sponsorships.
  • Identify opportunities to improve planning processes, operational efficiencies and execution, contributing recommendations that enhance the quality and effectiveness of the firm's events and sponsorship initiatives.
  • Assist in various ad hoc projects to support business objectives, e.g., maintain brand store and inventory of branded merch/gifts, and assist with additional marketing initiatives and special projects as assigned.

What Will Help You Be Successful
  • Approximately 5-8 years of experience in corporate events, event marketing, sponsorship management or hospitality, preferably serving high-net-worth, luxury or professional services audiences.
  • Financial services industry experience preferred; experience in private banking or wealth management is a plus.
  • Excellent organizational, time management and project management skills, with the ability to manage multiple concurrent projects in a fast-paced environment.
  • Demonstrated ability to independently manage projects while collaborating effectively as part of a team.
  • Strong attention to detail with exceptional organizational and follow-through skills.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to build productive relationships across all levels of the organization and with external partners.
  • Experience managing vendors, negotiating services and coordinating complex event logistics.
  • Strong analytical, problem-solving and decision-making skills with the ability to anticipate issues and adapt quickly to changing priorities.
  • Highly organized, proactive, resourceful and client-focused, with a commitment to delivering exceptional experiences.
  • Experience using event management and email marketing platforms preferred.
  • Intellectually curious with a genuine interest in learning, continuous improvement and operational excellence.
  • Ability to respond quickly and effectively to evolving business needs.
  • Advanced proficiency in Microsoft Excel and PowerPoint.
  • Ability to travel as needed -- approx. 10-20 days per year.
