1BPOSITION SUMMARY

CSG South seeks a highly organized and service-oriented Operations & Events Associate to support the successful execution of conferences, leadership programs, state visits, and daily organizational operations. This role serves as a key member of the Operations & Events team, providing event coordination, participant support, travel management, registration administration, and operational assistance that contribute to the success of CSG South programs and member services. The Operations & Events Associate works closely with the Director of Operations & Events and colleagues across the organization to ensure events are well-executed, logistics are coordinated effectively, and operational needs are addressed in a timely and professional manner. This position exercises sound judgment, strong attention to detail, and exceptional customer service while supporting multiple priorities in a deadline-driven environment.

ROLE RESPONSIBILITIES

Event Operations & Conference Support

  • Support planning and execution of the Southern Legislative Conference, leadership development programs, fly-ins, state visits, and other organizational events.
  • Coordinate registration activities, attendee communications, reports, badges, ribbons, and conference materials.
  • Serve as the primary administrator for event registration, housing, and participant management systems, including Cvent, Passkey, JotForm, Zoom, and other event technology platforms.
  • Coordinate transportation and travel logistics for presenters, participants, designated guests, and event programming for the region's meetings, conferences, and programs.
  • Support guest, youth, and volunteer, and recognition programs associated with conferences and events, including registration, communications, training materials, and operational logistics.
  • Assist with registration system training and on-site support for volunteers, temporary staff, and event personnel.
  • Maintain and administer event registration and hosting for virtual events using the Zoom platform.
  • Organize and monitor participant room blocks, housing reservations, and rooming reports, serving as a primary point of contact for designated participant housing and registration needs.
  • Coordinate transportation and travel logistics for presenters, participants, designated guests, and member events.
  • Serve as on-site event staff support for assigned meetings, conferences, and programs.
  • Assist with venue, hotel, vendor, and supplier coordination as assigned.

Member Services & Administrative Operations

  • Coordinate communications and mailings to elected officials, legislative staff, program participants, and external partners.
  • Serve as a point of contact for incoming office communications and direct inquiries appropriately.
  • Support staff travel arrangements and logistics for meetings, programs, and state visits.
  • Assist with office operations, inventory management, vendor coordination, facility support, and supply procurement, including coordination of office service providers and operational technologies.
  • Maintains internal staff directories and designated administrative systems.
  • Coordinate designated office technology and vendor relationships, including telecommunications systems, office equipment, security systems, copier and printer systems, and related operational services.
  • Maintains office shipping and postage processes, including supporting staff use of the Pitney Bowes SendPro machine, coordinating outgoing mail and packages, and maintaining related supplies.
  • Prepare internal or event briefing materials, meeting packets, correspondence, and other administrative resources that support organizational meetings, programs, and events.
  • Support general organizational operations and member service functions as assigned.

Collaboration & Service Excellence

  • Serve as the primary point of contact for designated participant services, including registration, housing, travel logistics, and related conference support.
  • Collaborate with colleagues across departments to support successful events and organizational initiatives.
  • Contribute to the continuous improvement of operational processes and event experiences.
  • Reinforce CSG South's mission, values, and commitment to exceptional member service through daily interactions and work products.

QUALIFICATIONS

  • Bachelor's degree in event or project management, hospitality, communications, public administration, business administration, or a related field; or an equivalent combination of education and experience.
  • Two or more years of professional experience supporting events, conferences, programs, operations, or administrative functions.
  • Strong organizational and project coordination skills with exceptional attention to detail.
  • Excellent customer service and communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Experience with project management platforms, CRM/event management tools, and Microsoft Office Suite.
  • Strong interpersonal skills, including self-awareness, sensitivity, and valuing others.
  • Dedication to public service with an unfailing commitment to act with civility, remain nonpartisan, and steward resources responsibly.
  • Willingness to travel routinely (up to 15%) for conferences, events, or meetings.

COMPENSATION

The salary range for this position, based in Decatur, GA, is $55,000 to $65,000. This salary range is subject to change based on work location and market conditions.
