Job description

The Estate Specialist at Great Waters Financial plays a pivotal role in ensuring a seamless and supportive experience for clients navigating the estate planning process. This role serves as a key liaison between clients, advisors, and estate planning platforms and partners-managing communications, coordinating meetings, and facilitating all logistical and administrative aspects of estate planning from initial connection through delivery and funding.
The ideal candidate is highly organized, customer-focused, and adept at managing multiple moving parts with precision and care.
Responsibilities
Estate Planning Meeting Facilitation
  • Guide clients through the estate planning process: Discovery, Delivery, and Funding.
  • Facilitate the Delivery and Funding process for estate customers.
  • Identify and handoff opportunities for the onboarding team to bring qualified Estate Customers through AYR (Architecting Your Retirement).

Paperwork & Offering Coordination
  • Prepare all necessary paperwork, documentation, and materials for estate meetings. Ensuring all forms are accurate, complete, and ready for presentation or signature.
  • Coordinate logistics and scheduling for all estate-related meetings.
  • Maintain communication with internal team members and external estate planning partners to ensure timelines and expectations are met.
  • Act as the central point of contact for Estate Plan Customers.

Client Events & Prospecting Workshops
  • Attend estate planning workshops and educational events
  • Assist attendees with next steps, answering preliminary questions, and gathering relevant information.
  • Manage follow-up from workshop participants to schedule consultations.

Requirements
  • Excellent written and verbal communication skills. Strong organizational, decision-making and time management skills.
  • Proficiency in using CRM platforms and office productivity tools.
  • Ability to manage multiple clients and projects simultaneously while meeting deadlines.
  • A client-first mindset with a proactive, solution-oriented approach.
  • Notary Public Appointment

Working Expectations
  • In-office Monday-Friday 9am-5pm, client facing position
  • Occasional evening hours required for events/workshops.
  • Travel required for attending workshops or in-person client meetings.

The salary range for this role is $55,000.00 - $70,000.00 annually. In addition, Great Waters offers employees a 401k plan with an employer matching schedule, Medical, Dental, and Vision insurance, 10 paid company Holidays, an annual wellness stipend, and paid-time off. This position is eligible for additional variable compensation, and a discretionary annual bonus driven by organization and individual performance.
