About the role
We are seeking an organized and detail-oriented Area Events Coordinator to provide administrative support to the Events teams at Hotel Bardo Savannah and Recess Hotel & Club Savannah. This role helps keep event details, documentation, deadlines, and internal communication organized so that meetings, weddings, and social events can be executed successfully across both properties.
This is an ideal opportunity for someone who enjoys working behind the scenes, managing details, and supporting a fast-paced hotel Events operation.
This is an onsite position supporting Hotel Bardo Savannah and Recess Hotel & Club Savannah.
What you'll do
  • Prepare and update banquet event orders, group resumes, diagrams, timelines, and other event documents.
  • Maintain accurate event information, files, contracts, correspondence, and supporting documentation.
  • Track deposits, guarantees, menu selections, deadlines, and outstanding client details.
  • Support the turnover of confirmed events from Sales to Event Management.
  • Coordinate event information between Events, Banquets, Culinary, Rooms, Front Office, and other hotel departments.
  • Assist with client scheduling, internal event meetings, departmental calendars, reports, templates, and follow-up communication.
  • Provide limited onsite event support as needed while remaining primarily focused on administrative coordination.

Qualifications
  • Previous administrative, events, catering, sales coordination, or hotel operations experience preferred.
  • Experience within a luxury or upscale full-service hotel, resort, event venue, or hospitality environment is strongly preferred.
  • Highly organized with strong attention to detail and the ability to manage multiple deadlines.
  • Strong written and verbal communication skills with a professional, service-oriented approach.
  • Proficient with Microsoft Office or Google Workspace; experience with hotel event management systems is a plus.
  • Able to remain accurate, responsive, and organized in a fast-paced environment.
