Position Summary

The Event Assistant provides hands-on support for private events at the Ken Garff University Club at Rice-Eccles Stadium. This position assists the Events and Operations teams with event setup, decor, inventory, and day-of event needs to help ensure each event is organized, polished, and ready for guests. The ideal candidate is dependable, detail-oriented, organized, and comfortable working in a fast-paced event environment. This is a great opportunity for someone who enjoys working behind the scenes to help create memorable guest experiences. Because of the nature of events, this position requires a flexible part-time schedule, including nights, weekends, and holidays.

This role pays an hourly rate of $14.00 - $16.00 per hour plus other benefits as applicable for this position. Please note: Including your share of service charges, your hourly earnings will typically exceed the minimum wage, but you are always guaranteed hourly earnings of at least the minimum wage in accordance with applicable law.

Responsibilities
  • Assist with setup and breakdown of private events, meetings, and special events.
  • Design, source, and install event decor, including tablescapes, floral or greenery elements, signage, accent furniture, lighting touches, and other style enhancements.
  • Set up and organize decor, centerpieces, signage, and other event enhancements.
  • Assist with event room resets and maintaining a clean, organized event space.
  • Ensure all decor set-ups are accurate, on time, and meet brand/club standards.
  • Maintain and organize in-house decor inventory, props, and supplies.
  • Maintain and organize the club's decor and event enhancement inventory.
  • Inspect decor and event items for cleanliness, damage, and overall condition.
  • Help keep inventory records accurate and communicate when supplies need to be replaced or replenished.
  • Partner with the culinary, operations, and event teams to integrate decor seamlessly with menus, layouts, and service flow.
  • Research and stay current on event decor trends, creative styling ideas, and seasonal looks to keep offerings fresh and innovative.
  • Assist in tracking decor spend, staying mindful of budget, and making cost-conscious recommendations that maximize client impact and ROI.
  • Assist with select coordination responsibilities such as:
  • Gathering client details for timelines and layouts.
  • Preparing and sharing decor set-up sheets and event briefs.
  • Supporting day-of logistics (vendor arrivals, decor placement, light client communication).
  • Provide post-event recaps and recommendations for future improvements.
  • Execute other creative and operational duties as assigned.
  • Work closely with banquet and operations staff to ensure events are set up according to specifications.
  • Assist the events team with day-of event needs and last-minute requests.
  • Maintain a professional appearance and positive attitude while working around members and guests.
  • Perform other event-related duties as assigned.
Qualifications
  • 1-2 years of event, hospitality, or design-related experience preferred.
  • High school diploma or GED.
  • Must have a strong eye for design, style, and detail-experience in event decor, floral, staging, or interior styling preferred.
  • Ability to multitask, prioritize, and work under deadlines.
  • Proficiency with Microsoft Office and/or design tools (Canva, PowerPoint, Pinterest boards, etc.) is helpful.
  • Comfortable working a flexible, part-time schedule, including nights, weekends, and holidays.
  • Must be able to stand for extended periods.
  • Ability to lift and carry decor items.
  • Able to move throughout the event spaces.
  • Strong interpersonal skills including collaborating with clients, motivating staff, and communicating clearly with multiple departments.
