JOB DESCRIPTION - FULL-TIME

This position is responsible for coordinating programs, projects, and activities that strategically engage alumni and strengthen their connection to the University. Tasks range from event planning and execution, special projects, research, tracking, reporting, creating and maintaining event management platform and developing event reports. This individual will also perform logistical, operational, and administrative tasks in relation to the preparation and execution of all alumni events and engagement activities.

RESPONSIBILITIES
  • Coordinate programs, projects, and activities that strategically engage alumni
  • Provide administrative support and coordination for tasks/events associated with the Alumni Association
  • Provide University updates to be shared with constituents
  • Build and maintain event RSVP pages
  • Track attendee numbers, follow up on incomplete registrations, and/or trouble shoot any RSVP issues while keeping "customer service" in mind.
  • Supply department staff with important at-a-glance-need-to-know information including date, time, location, RSVP link, ticket cost, attire, and other special considerations for upcoming events.
  • Ensures proper post-event records to note check-in, cancellations, and no-shows.
  • Maintain a high level of "customer service" while assisting department visitors, callers, and event attendees.
  • Assist alumni/donors as needed.
  • Serve as the connection point with alumni/guests when needed.
  • Systematically manage all assigned projects while delivering effective and timely results
REQUIREMENTS

EDUCATION: Bachelor's degree highly preferred, or equivalent experience

LICENSE OR CERTIFICATION: Must possess a valid Oklahoma driver's license for the purpose of running work-related errands

EXPERIENCE/SKILLS/ABILITIES:

  • Ability to timely manage multiple projects and meet tight deadlines in a fast-paced office environment with high customer/client traffic and calls.
  • Must have excellent interpersonal, verbal, reading, written, mathematical, multitasking and conflict resolution skills.
  • Able to quickly establish and maintain rapport with alumni, donors, guests, faculty and administration.
  • Maintain a professional demeanor at all times, especially for the purpose of receiving and transmitting information.
  • Use sound judgement regarding organizational and department regulations, procedures and policies.
  • Must maintain a high level of confidentiality of information.
  • Must be able to clearly communicate with the ORU Community and outside vendors.
  • Provide high level of concierge to alumni, donors and guests.
  • Ability to learn new database and software systems is required.
  • Must be proficient in MS Word, Excel and Power Point. Proficiency in project management and/or events software is a plus.
