Event Setup Assistant information

What is an event setup assistant?

Event Setup Assistants are professionals responsible for preparing venues for events such as conferences, weddings, meetings, and parties. Their duties include arranging furniture, setting up audio-visual equipment, decorating spaces, and ensuring all materials are in place before the event starts. They often work closely with event coordinators and other staff to ensure that everything runs smoothly and according to plan. This role requires attention to detail, physical stamina, and good communication skills.

What are the key skills and qualifications needed to thrive as an event setup assistant?

To thrive as an Event Setup Assistant, you need strong organizational skills, attention to detail, and the physical ability to handle equipment, with a high school diploma often preferred. Familiarity with setup tools, basic AV equipment, and event management software is typically required. Excellent teamwork, communication, and problem-solving skills help you adapt to changing circumstances and client needs. These abilities ensure efficient, safe, and customer-focused event execution, leading to successful outcomes for both clients and employers.

What are some typical challenges faced by event setup assistants during large-scale events, and how can they be managed?

Event Setup Assistants often encounter challenges such as tight setup schedules, last-minute changes to layouts, and the need to coordinate with multiple vendors or team members. Managing these requires strong communication skills, adaptability, and attention to detail. Being proactive in checking setup plans, regularly communicating with the event coordinator, and staying organized can help ensure a smooth setup process even when unexpected issues arise.

Job description

We’re hiring Seasonal Décor Staff to help bring the Silverton Christmas Market to life! Our décor team works before the Market opens to transform vendor booths, dining tents, the lodge, and other event spaces for the holiday season, and returns after the event to help take everything down.

You don’t need to be a professional decorator or designer. We provide the decorating plan. We’re looking for people who can follow that plan, pay attention to the details, and recognize when a display looks polished and put together.

WHAT YOU’LL DO

  • Decorate vendor booths, dining tents, resort spaces, and other areas throughout the property
  • Arrange and install holiday décor according to established plans and direction
  • Make adjustments to ensure displays look neat, balanced, and finished
  • Unpack, organize, and distribute décor throughout the property
  • Assist with removing, organizing, and storing decorations after the Market
  • Work with the décor team to complete areas efficiently and on schedule

WHAT WE’RE LOOKING FOR

  • A good eye for presentation and attention to detail
  • Ability to follow an established decorating plan and direction
  • Dependable and able to work well as part of a team
  • Comfortable with physical work, including standing, walking, bending, reaching, and moving décor and supplies
  • Able to work both indoors and outdoors in cold, rainy, and changing weather conditions
  • Decorating, merchandising, event setup, visual display, or similar experience is a plus, but not required

This is a temporary seasonal position with most hours occurring before the Silverton Christmas Market opens and again after the event concludes.
