Event Setup Assistant information

What is an event setup assistant?

Event Setup Assistants are professionals responsible for preparing venues for events such as conferences, weddings, meetings, and parties. Their duties include arranging furniture, setting up audio-visual equipment, decorating spaces, and ensuring all materials are in place before the event starts. They often work closely with event coordinators and other staff to ensure that everything runs smoothly and according to plan. This role requires attention to detail, physical stamina, and good communication skills.

What are the key skills and qualifications needed to thrive as an event setup assistant?

To thrive as an Event Setup Assistant, you need strong organizational skills, attention to detail, and the physical ability to handle equipment, with a high school diploma often preferred. Familiarity with setup tools, basic AV equipment, and event management software is typically required. Excellent teamwork, communication, and problem-solving skills help you adapt to changing circumstances and client needs. These abilities ensure efficient, safe, and customer-focused event execution, leading to successful outcomes for both clients and employers.

What are some typical challenges faced by event setup assistants during large-scale events, and how can they be managed?

Event Setup Assistants often encounter challenges such as tight setup schedules, last-minute changes to layouts, and the need to coordinate with multiple vendors or team members. Managing these requires strong communication skills, adaptability, and attention to detail. Being proactive in checking setup plans, regularly communicating with the event coordinator, and staying organized can help ensure a smooth setup process even when unexpected issues arise.

Job description

Description
Royal Gorge Cross Country, Sugar Bowl's Nordic ski area, is now hiring a Ski School & Events Manager. We are seeking an integral member of the winter leadership team who will deliver an on-brand, exceptional experience for ski team members, event participants, sponsors, and other stakeholders. Responsibilities include race trail grooming plan and scheduling, event scheduling and promotion, sponsor recruitment and sales, and ski instructor management and timekeeping. In collaboration with the General Manager, the Ski School & Events Manager will execute all planned events, races, event series, and ski team activities - and is expected to make operational decisions related to events and ski school in the Director's absence.
Why Sugar Bowl?
Sugar Bowl Resort has been proudly independent for over 80 years and is one of the oldest ski resorts in California. Situated atop beautiful Donner Summit, Sugar Bowl has a storied past with ties to Austrian ski culture, Hollywood and Walt Disney. This special community helped bring skiing to "sunny California" since December 1939. Since then, it continues to attract adventurous winter sports enthusiasts alike.
Who You Are:
• 10+ years of Nordic ski industry-related experience
• Advanced knowledge of Nordic winter trail grooming, maintenance, and equipment
• Significant experience as a Nordic race director, USSA Coach, or Technical Delegate
• Superior communication skills and the ability to provide excellent guest service in a dynamic, sometimes high-volume, environment
• A proven track record recruiting and staffing cross-country departments, including supervisory experience and employee performance management
• A working knowledge of ski resort operations, specifically grooming operations, racecourse design and maintenance, and ski team operations
• Comfortable delivering effective front-line training
• Skilled at solving practical problems and navigating a variety of concrete variables in situations with limited standardization
• Able to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
• A valid Class C Driver License, with a driving record meeting the minimum standards required by our insurance carrier
What You'll do:
• Hire, orient, train, direct, motivate, evaluate, and discipline all assigned staff, and oversee work schedules in accordance with Sugar Bowl and Royal Gorge policies/procedures and state and federal regulations
• Manage assigned operations to meet annual operating and capital budget goals
• Secure event sponsorship and execute on sponsor deliverables
• Work with the Director and Assistant Manager to set the race and event grooming schedule
• Coordinate and schedule all ski team activities
• Coordinate area set-up for races, special events, and promotions
• Maintain current expert-level knowledge of cross-country ski trends, including technical and equipment trends
• Assist with planning racecourse layout, maintenance, and repair
• Assist with snow removal, including shoveling and clearing walkways, stairs, equipment, and other areas as needed
Physical Requirements:
• Comfortable working outdoors in cold, winter High Sierra weather conditions for extended periods, including during events and race operations
• Able to walk and stand safely on varied terrain, including snow and ice, while overseeing race courses and event setup
• Capable of shoveling and clearing snow, including heavy, wet snow, as needed
• Advanced or expert-level skiing ability sufficient to inspect trails, race courses, and grooming quality firsthand
• Comfortable traveling locally around the resort and Nordic trail system to support event setup, grooming coordination, and race operations
• Sufficient visual and auditory acuity to safely oversee events, athletes, and staff across a large outdoor venue
Winter Benefits:
• Employer sponsored 401k plan after 1,000 worked hours and one (1) year of service
• Paid sick time
• Employee Assistance Program (EAP)
• Professional development opportunities
• Free ski and tubing passes for employees
• Free ski passes for dependents
• 50% off food at our restaurants
• Free group ski and snowboard lessons for employees
• Employee discounted lift tickets for family and friends
• Lift ticket discounts at multiple resorts including 24 Mountain Collective destinations
• Hotel discounts
• Employee ski reciprocal programs
