Job Duties


The Sales Assistant โ€“ Sales Executive Support will serve as a key partner to Fidelity National Title's Sales Team, providing both in-office and field support through a structured training program designed to develop a strong understanding of the title and escrow industry, client relationship management, marketing coordination, and event execution. This role requires a highly organized, proactive, detail-oriented professional who thrives in a fast-paced environment and can effectively manage multiple priorities while maintaining exceptional customer service.


The ideal candidate will act as the primary liaison between the Sales Team, Marketing Department, clients, vendors, printing companies, and event partners to ensure all sales support activities, marketing requests, client deliverables, and event initiatives are executed accurately, professionally, and on time. This role allows Sales Executives to focus on revenue-generating activities while ensuring a seamless client experience before, during, and after every interaction.


Responsibilities


  • Support the Sales Team through the coordination and execution of client-facing initiatives, marketing requests, and business development activities.
  • Serve as the primary point of contact for Sales Executives regarding client support needs, event planning, marketing materials, and follow-up initiatives.
  • Coordinate communication between Sales, Marketing, vendors, printing companies, and clients to ensure all commitments are delivered accurately and on schedule.
  • Manage marketing and promotional material requests from Sales Executives and their clients from intake through completion.
  • Monitor project timelines and maintain communication with all stakeholders to ensure deadlines are achieved.
  • Assist Sales Executives with CRM management, including data entry, database maintenance, contact updates, lead tracking, and client segmentation.
  • Maintain accurate client records and ensure all customer information is current, organized, and properly documented.
  • Generate reports, track activities, and assist Sales Executives in managing client pipelines and follow-up schedules.
  • Schedule appointments, meetings, presentations, training sessions, and client engagements for Sales Executives.
  • Prepare meeting materials, presentations, client packets, and supporting documents for sales appointments.
  • Attend client meetings alongside Sales Executives when appropriate and document meeting notes, action items, and follow-up tasks.
  • Track and coordinate completion of all post-meeting action items to ensure client expectations are met.
  • Facilitate communication between clients and internal departments to resolve questions, requests, or service-related concerns.
  • Assist in onboarding new clients and maintaining strong ongoing relationships through exceptional service and responsiveness.
  • Coordinate client appreciation events, broker opens, happy hours, networking events, educational seminars, galas, sponsorship activations, and other client-focused functions.
  • Manage all logistical aspects of events, including venue coordination, catering, rentals, registrations, signage, promotional items, printed materials, and vendor relationships.
  • Attend and facilitate client events to ensure successful execution and a positive client experience.
  • Capture photo and video content at client events, presentations, and community functions to support the Sales Team's social media and branding efforts.
  • Coordinate with Marketing to ensure content, branding, and promotional materials align with company objectives.
  • Monitor inventory levels of sales and marketing materials within brokerage offices and coordinate reordering from the marketing department when necessary.
  • Support Sales Executives in territory management initiatives, prospecting campaigns, and client retention strategies.
  • Assist with preparation and distribution of client communications, invitations, newsletters, and promotional materials.
  • Track event ROI, participation metrics, and client engagement activities as requested.
  • Maintain confidentiality regarding client information and company business practices.
  • Support special projects and departmental initiatives as assigned.
  • Participate in ongoing training and professional development programs to increase knowledge of title, escrow, real estate, mortgage, and sales support operations.

Qualifications


  • High School Diploma required.
  • Associate's Degree or Bachelor's Degree preferred.
  • 2โ€“5 years of experience in sales support, executive assistance, event coordination, customer service, marketing coordination, or a related field.
  • Experience supporting multiple professionals simultaneously preferred.
  • Experience with CRM platforms and database management.
  • Proven ability to manage projects, deadlines, and client relationships.
  • Experience coordinating events, vendor relationships, and client-facing activities preferred.
  • Strong administrative and organizational skills.
  • Strong knowledge of AI and all Social Media Platforms.
  • Reliable transportation and the ability to travel locally to client meetings and events.
