Saddleback Events Coordinator

A member of the Marketing Department reporting to the Director of Marketing, the Events Coordinator oversees the planning, organization, and execution of on-mountain and resort events that enhance the guest experience, build community engagement, and support the resort’s brand and revenue goals. The Events Coordinator must be an excellent communicator, thrive in a fast-paced environment, and enjoy working collaboratively across departments to bring events to life.

This position requires a flexible schedule, including evenings, weekends, and holidays throughout the winter season.

Key Responsibilities

Event Planning & Execution

  • Plan, coordinate, and execute the resort's calendar of events, including signature festivals, races, competitions, concerts, family programming, holiday celebrations, and others.
  • Develop event timelines, production schedules, and operational plans to ensure successful execution
  • Coordinate logistics including venue setup, equipment, permits, staffing, entertainment, vendors, sponsors, and event supplies
  • Serve as the on-site event manager during events, ensuring smooth operations and an exceptional guest experience
  • Conduct post-event evaluations and identify opportunities for improvement

Budgeting

  • Together with the Director of Marketing, develop, monitor, and manage the annual Events budget
  • Track event expenses and ensure events are delivered within approved budgets
  • Manage relationships with vendors, contractors, entertainers, and service providers
  • Process invoices and maintain accurate financial records related to events

Cross-Department Coordination

  • Collaborate with Marketing, Food & Beverage, Mountain Operations, Guest Services, Lodging, Retail, and other departments to coordinate event operations
  • Work closely with the Marketing team to develop promotional timelines and ensure events are effectively marketed across digital, print, email, and social media channels
  • Coordinate volunteer staffing and event support personnel when applicable

Vendor & Partner Relations

  • Build and maintain strong relationships with sponsors, community organizations, vendors, entertainers, and event partners
  • Represent the resort professionally while working with external partners and guests

Administrative Responsibilities

  • Maintain the annual events calendar and planning documents
  • Prepare event recaps, attendance reports, and budget summaries
  • Ensure compliance with resort policies, safety procedures, and applicable regulations
  • Assist with additional marketing initiatives and resort projects as needed

Minimum Qualifications

  • Experience planning and executing events, preferably in hospitality, tourism, recreation, or a related industry
  • Strong project management and organizational skills with the ability to manage multiple events simultaneously
  • Budget management experience
  • Excellent communication and interpersonal skills
  • Strong attention to detail and problem-solving abilities
  • Proficiency with Microsoft Office and Google Workspace
  • Ability to work independently while collaborating effectively with cross-functional teams
  • Ability to lift and move event materials and work outdoors in varying weather conditions
  • Valid driver's license preferred
