Job description

About the role
We are seeking a detail-oriented, execution-focused Experiential Marketing Coordinator to scale Candid's event presence across conferences, community meetups, and flagship events. Reporting to the Experiential Marketing Lead, you will be the operational backbone of Candid's event program - ensuring every touchpoint, from a regional builders meetup to a national trade show, is executed flawlessly and drives measurable pipeline impact.
Events at Candid are a core channel for brand visibility, community building, and revenue generation. You will be responsible for turning our event calendar into a high-quality lead source and community engagement engine, coordinating logistics end-to-end, managing vendors and venues, and ensuring our teams show up prepared and on-brand every time.
Responsibilities
  • Conference & Trade Show Execution Own end-to-end logistics for Candid's presence at third-party conferences and industry events. This includes booth coordination, vendor management, sponsorship asset delivery, staffing logistics, pre- and post-event communications, and lead capture - ensuring every conference appearance converts attention into pipeline.
  • Community & Builders Meetup Support Support the planning and execution of Candid's community-facing events, including regional builders meetups and practitioner gatherings. You will coordinate venues, catering, A/V, invitations, and on-the-ground logistics to ensure these events deliver a consistent, high-quality experience that deepens community relationships.
  • Candid-Owned Event Planning & Support Play a key operational role in the planning and execution of flagship events. You will support cross-functional coordination across marketing, sales, product, and external vendors - managing timelines, run-of-show documents, speaker logistics, and on-site execution to ensure a seamless attendee experience.
  • Lead Capture & CRM Management Own the end-to-end lead flow from events. You will manage lead retrieval tools on-site and ensure timely, accurate import of leads into Salesforce, with proper attribution tagging. You will work with the marketing team to build and execute post-event nurture sequences in HubSpot, ensuring no lead goes cold.
  • Vendor & Budget Management Source, negotiate with, and manage relationships with event vendors - including venues, A/V, print, swag, and staffing. You will track event budgets carefully, flag variances early, and identify opportunities to improve quality while controlling costs.
  • Cross-Functional Coordination Serve as the central logistics hub for all event stakeholders. You will align internal teams (Sales, Marketing, Product) on event goals, staffing plans, and follow-up workflows, and proactively communicate timelines and deliverables to keep everyone accountable.
  • Event Content & Asset Coordination Coordinate with the broader marketing team to ensure all event materials - booth graphics, one-pagers, digital assets, email invitations - are on-brand, delivered on time, and tailored to the specific audience of each event.
  • Performance Tracking & Reporting Define and track key event metrics including leads generated, pipeline sourced, cost per lead, and attendee engagement. You will deliver post-event recaps with clear takeaways and recommendations to continuously improve the program.

Requirements
  • 2-4 years of experience in event marketing, field marketing, or event coordination, ideally within B2B SaaS or Healthcare Tech
  • Proven track record of executing conferences and events end-to-end with minimal oversight - you are someone who owns the checklist and the outcome
  • Hands-on experience with HubSpot (or a comparable marketing automation platform) and Salesforce, including lead import, campaign attribution, and post-event nurture workflows
  • Experience with lead retrieval tools (e.g., Cvent, Popl, Blinq, Bizzabo, Exhibitview, or badge scanners) is a plus, but not required
  • Exceptional organizational skills and the ability to manage multiple events simultaneously without dropping details
  • Strong vendor management and negotiation skills
  • A collaborative, low-ego working style - you're as comfortable rolling up your sleeves on-site as you are building a post-event report
  • Ability to travel as needed to support on-site event execution

Location
We are looking for employees to join our in-person culture in our New York City, San Francisco, or Denver Offices. Our weekly schedule is 4 days in-office and 1 day working remotely.
