Title: Event Management Specialist, General Affairs Reports to: Sr. Manager, Employee Experience, General Affairs Description of role: Overall support of event management and employee experience team Principle Functions: Lead, plan, and manage events often including VIP events catering guests from HQ and ensure to deliver outstanding experience for industry and team leaders Work closely with Catering Manager on request and meal presentation Develop event management schedules and standards aligned with business requirements for corporate events Manage all aspects of event management including vendor management, equipment, scheduling, coordination, logistics, guest experience, catering, and furnishings. Manage event management systems and develop efficient internal communication tools and workflow Develop reports utilizing system software to effectively present event related metrics including participation, survey results, and cost Manage event budget and work with Procurement for effective communication and processing as part of event planning Complete projects on time within budget Participate in development of programs and projects to increase efficiency of GA processes and operations Participate in the request for proposals, planning preparation, and administration of contracts Manage ad-hoc projects and programs as assigned Partner and collaborate with various operations groups and business partners Manage conference room scheduling and conduct conference room audits Manage and direct event set up techs Required Qualifications: Bachelor’s degree from an accredited college or university in hospitality, communications, or project/event management related fields At least five years relevant experience or at least ten years professional experience Familiarity with real estate, operations, facilities, and office services functions, Preferred Qualifications: Excellent communication (verbal and written) and interpersonal skills Excellent communication and presentation with Executive Level and Executive Assistants Attention to detail Proficient with software programs including Microsoft Excel, PowerPoint, Word, and Outlook Ability to learn internal systems Critical thinker and proactively identify issues and propose solutions Work well under pressure and within time constraints in a fast-paced environment Ability to multi-task with attention to details Ability to build relationships with both internal and external customers Excellent analytical and organizational skills Capable of working with ambiguity and change
