What You Do  

The Community Operations Coordinator plays a key role in supporting both administrative operations and field activities for the management of community associations. This position is responsible for attending court proceedings related to delinquent accounts, assisting with onsite community events, performing office administrative duties, and providing operational support. The ideal candidate is organized, adaptable, and comfortable balancing legal, administrative, and customer-facing responsibilities.


Administrative Duties

  • Perform general office administrative tasks, including data entry, filing, and document management
  • Manage and track certified mail, including retrieving items from the post office and ensuring proper documentation and distribution

Community Event Support

  • Assist with setup, coordination, and breakdown of onsite community events and meetings
  • Support community managers during resident-facing events
  • Provide professional interaction with board members, residents, and vendors during events
  • Help coordinate materials, signage, and event logistics
  • Occasional evening or weekend work may be required for community events

Compliance & Field Support

  • Conduct compliance inspections when needed, ensuring adherence to community guidelines and standards
  • Document inspection findings and communicate violations in accordance with company policy
  • Provide coverage for team members in field roles as necessary

Court Appearances & Collections Support

  • Attend court hearings for delinquent assessment collection cases on behalf of community associations
  • Prepare, organize, and present required account documentation and records
  • Coordinate with attorneys and internal teams regarding case status and required follow-up
  • Update internal systems with court outcomes and maintain accurate case records

Billing

  • Prepare and submit billing documentation for reimbursable services performed outside of management agreements.
Requirements
  • High school diploma required; associate or bachelor's degree preferred
  • 1-3 years of experience in property management, administrative support, or a related field preferred
  • Experience attending court proceedings or handling legal documentation is a plus
  • Strong organizational skills with high attention to detail
  • Strong time management and multitasking skills
  • Excellent customer service skills
  • Excellent communication and interpersonal skills
  • Ability to handle sensitive legal situations professionally and confidentially
  • Regular local travel throughout DC Metro Area is required using a personal vehicle.
  • Proficiency in Microsoft Office (Outlook, Word, Excel); experience with Vantaca or similar property management software preferred.

Physical Requirements

  • Frequent movement between office, court, and community locations may involve working outdoors in varying weather conditions.
  • Prolonged periods of sitting, standing, and walking
  • Ability to navigate stairs and uneven terrain when conducting inspections. 
  • Ability to lift and carry up to 25 pounds.
