Job Description
Job Summary
Duties and responsibilities include performing and managing tasks and projects assigned by the Director: written and oral correspondence, scheduling and sourcing event venues, preparing and following up on checklists/timeline/production schedules, managing meetings and calendar appointments, and generating data and documents. Serving as the liaison between the Director of Campus Services and clients. Contributing to a team environment for the effective and efficient delivery of high-touch events and experiences that are on brand, that meet goals and objectives, and that exceed customer expectations both externally and internally.
Essential Job Functions
  1. Manage designated events from inception to conclusion as determined by the Director. Includes facilitating client and vendor meetings to determine meeting goals and objectives, registration needs, room blocks, seating, set-up and teardown, billing, special meal requests, etc.
  2. Consult with various departments across campus to assess and understand their needs and requirements for events; streamlining event efficiency by tailoring event scheduling towards venues that best support event needs and requirements.
  3. Work closely with service providers on campus to understand, offer, and implement service options, capabilities, and limitations.
  4. Assist with the organization of on-campus events such as Commencement, White and Blue Weekend, Homecoming, Summer conferences/camps, etc. Responsibilities include creating work orders, compiling and distributing meeting minutes, creating and updating various schedules, organizing event registration, and assigning staff to work.
  5. Assist with coordinating and proofing printed materials, compiling event spending, and other requested information.
  6. Perform all other tasks and projects as assigned.

Required Qualifications
Education & Experience
This position requires a bachelor's degree and 3 years of event planning experience or an equivalent combination of education and experience sufficient to demonstrate the ability to perform the job.
