EVG Specialty Network is seeking a highly organized, detail-oriented Administrative & Logistics Coordinator to support key initiatives across Talent Acquisition, Marketing, and Operations while providing on-site administrative support at Friendship Hospital for Animals in NW Washington, DC.
This is a dynamic, hands-on role ideal for someone who thrives on keeping projects moving, managing logistics, coordinating events, and ensuring exceptional experiences for candidates, employees, and hospital leadership. You'll play a critical role in improving operational efficiency across our growing network while supporting meaningful work that advances veterinary medicine.
What You'll Do
Recruiting Events & Conference Logistics
  • Coordinate logistics for conferences, career fairs, recruiting events, and industry meetings
  • Prepare, pack, ship, track, and manage event materials and collateral
  • Maintain inventory of recruiting supplies and promotional items
  • Manage pre- and post-event logistics, including shipping, returns, and storage
  • Provide backup support for urgent or last-minute shipment needs
  • Assist with post-event outreach and lead management activities
Marketing Collateral & Inventory Management
  • Oversee inventory of recruiting and marketing materials
  • Coordinate ordering, storage, and distribution of branded collateral and promotional products
  • Partner with Marketing to ensure materials remain current, on-brand, and aligned with company standards
Candidate Experience & New Hire Gifting
  • Coordinate travel, scheduling, and on-site visit logistics for candidates as part of our white-glove recruiting experience
  • Manage travel arrangements and reimbursement processes
  • Coordinate welcome gifts and onboarding materials for veterinarians, hospital leaders, and home office team members
  • Oversee ordering, packaging, and delivery of recognition and welcome gifts
Employee Recognition & Engagement
  • Track employee milestones, certifications, anniversaries, and achievements
  • Coordinate recognition gifts, cards, and communications
  • Partner with Marketing to support internal and external recognition initiatives
Cross-Functional Operations Support
  • Collaborate closely with Talent Acquisition, Marketing, Operations, and hospital leadership teams
  • Support operational compliance requirements, facility licensing, and regulatory submissions
  • Work alongside the Chief of Staff to prioritize projects and manage competing priorities
  • Ensure continuity and coverage for critical logistics functions across teams
On-Site Housing Management
  • Coordinate housing reservations and scheduling
  • Manage cleaning services, supply restocking, and maintenance requests
  • Partner with facilities and leadership teams to ensure accommodations remain guest-ready
Administrative Support for Hospital Leadership
  • Capture and distribute meeting minutes for weekly management meetings
  • Organize, maintain, and consolidate SOPs into a centralized policies and procedures manual
  • Support special projects and strategic initiatives as assigned
