Event Internships information

What is an event internship?

Event internships are temporary positions, often offered to students or recent graduates, that provide hands-on experience in various aspects of event planning and management. Interns typically assist with tasks such as coordinating logistics, marketing events, managing guest lists, and supporting event execution. These internships are valuable for gaining practical skills, networking within the industry, and exploring potential careers in events or hospitality. They may be paid or unpaid, depending on the organization and location. Completing an event internship can enhance your resume and improve your chances of securing a full-time role in the field.

What responsibilities can I expect during an event internship, and how much hands-on experience will I gain?

As an event intern, you can expect a mix of administrative and on-the-ground responsibilities, such as assisting with event setup, coordinating logistics, communicating with vendors, and supporting attendee registration. Interns often gain substantial hands-on experience by helping with event execution, managing guest lists, and troubleshooting issues as they arise. Collaboration is key; you'll typically work closely with event managers, marketing teams, and vendors, providing valuable insights into the full event planning process. This internship is an excellent opportunity to build foundational skills and professional networks, which can lead to future roles in event management.

What are the key skills and qualifications needed to thrive as an event intern, and why are they important?

To thrive as an Event Intern, you need organizational skills, attention to detail, and a basic understanding of event planning, often gained through coursework or volunteer experience. Familiarity with event management software, scheduling tools, and Microsoft Office is commonly expected. Strong communication, teamwork, and adaptability help you succeed in fast-paced and dynamic environments. These skills ensure smooth event execution, effective collaboration, and a positive experience for attendees and stakeholders.

Job Description

DNAnexus is seeking a Marketing Events Specialist to help plan, coordinate, and execute the events and webinars that drive pipeline growth for DNAnexus. This is a hands-on, execution-focused role for someone early in their marketing career who moves fast, uses AI tools as a default part of work rather than an afterthought, and stays organized under pressure. You'll support a small, high-output marketing team where speed and follow-through matter as much as experience. You'll be trusted with real ownership: managing strategy, operations, and logistics for conferences and field events, producing webinars start to finish, and making sure every lead that comes through an event or webinar gets captured, tagged, and handed to sales cleanly.

AI fluency is a requirement for this role. You must be able to use leading AI accelerators, including ChatGPT or Claude, to draft copy, build briefs, summarize research, and speed up repetitive work, and you should be comfortable using automation tools (Zapier, Make, or similar) to connect event tech, forms, and CRM.

What You'll Own

  • Campaign coordination: Build and manage event timelines, budgets, vendor communications, speaker and presenter logistics, and internal and external briefs across a full calendar of conferences, field events, and webinars.
  • Onsite and virtual event production: Manage logistics for tradeshows and field events, including booth setup, shipping, staffing schedules, signage, promo items, and onsite troubleshooting. Represent DNAnexus onsite at events.
  • Webinar production: Own webinar programs end to end — platform setup, speaker coordination, run-of-show, promotion, moderation, and post-event follow-up.
  • Lead capture and handoff: Set up and QA lead capture at every event and webinar (badge scanners, forms, chat-to-lead workflows). Ensure leads are tagged correctly and pushed into the CRM within hours of an event closing.
  • Strategic comms alignment: Help identify target events and related speaking opportunities, flag upcoming submission deadlines, and support drafts of abstracts.
  • AI-assisted execution: Use AI tools to draft event copy, briefs, and follow-up emails, summarize post-event notes, and speed up reporting.

What Success Looks Like (Your KPIs)

You will be evaluated on:

  • Webinar registrations and attendance rate against target for each program.
  • Webinar- and event-sourced leads and their contribution to pipeline.
  • Cost per registrant (CPR) across webinar and event programs.
  • Event ROI, measured against program cost and pipeline generated.
  • Lead and opportunity growth quarter over quarter from your programs.

You'll report on these numbers on a regular cadence and are expected to flag underperformance early and propose fixes, not just report results after the fact.

Qualifications
  • 3-5 years of experience in event marketing, campaign coordination, or a related marketing role. Agency, in-house, project management, or a demanding internship counts.
  • Daily, practical use of AI tools (ChatGPT, Claude, or similar) for writing, research, or workflow tasks. You can describe exactly how you use them.
  • Experience with a webinar platform (Zoom Webinar, ON24, WorkCast, or similar) and a marketing automation or CRM system (HubSpot, Marketo, Salesforce, or similar).
  • Comfort with ambiguity and tight timelines. You can take a rough ask and turn it into a plan without needing every detail spelled out.
  • Cross-functional influence. You drive alignment across marketing, sales, customer success, product, and solutions experts through clarity and credibility.
  • Strong written and verbal communication. You can write a clear brief, a clean recap email, or event copy without heavy editing, and you have excellent presentation skills.
  • Willingness and ability to travel up to 50% of the time, including some evenings and weekends around event dates.

Nice-to-Haves

  • Experience in life sciences, biotech, genomics, or a related technical industry.
  • Familiarity with project management tools (Asana, Monday, Basecamp, or similar).
  • Familiarity with no-code automation tools (Zapier, Make, or similar).
  • Basic experience with design tools (Canva, Figma) or AI image/video generation tools for event assets.

Our Values in Action

  • Accountability: You own your programs end to end — from budget to badge scans — and report results honestly, flagging misses early and proposing fixes.
  • Curious: You test new event formats and AI tools before being asked, always looking for a faster or better way to run a program.
  • Groundbreaking: You bring fresh thinking to every event, using AI to do things a traditional events playbook couldn't.
  • Trustworthy: Vendors, speakers, and sales can count on you to follow through on every commitment, every time.

Compensation

The annual salary for this position is between $90,000 and $110,000, which includes an annual bonus component of 5%. Factors that may affect starting pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.

Benefits

The Company offers the following benefits for this position, subject to applicable eligibility requirements: medical insurance, dental insurance, vision insurance, 401(k) retirement plan, life insurance, long-term disability insurance, short-term disability insurance, flexible paid time off, 12 weeks of paid parental leave, and paid national holidays.
