Events Management Specialist
MISSION
The Events Management Specialist holds a central leadership role in managing and supervising diverse branded events, playing a crucial role in their planning and seamless execution. They drive event management from initial concept to final implementation, leading, engaging, and nurturing relationships while establishing effective communication channels both within Sixthman and with clients/partners for all designated events.

RESPONSIBILITIES
DEPARTMENT responsibilities:
  • Assist other departments by offering insights and feedback as a representative of the event management team in special projects
  • Serve as needed as a next point of contact for home team when your leaders are sailing or otherwise unavailable
  • Actively seek opportunities for further leadership training
  • Attend relevant industry events or festivals to build relationships and to monitor best practices and make appropriate recommendations to keep Sixthman on the leading edge of industry

EVENT responsibilities:
  • Lead and develop relationships with external high-value event clients/partners by clearly communicating timelines, critical information, and event financials regularly throughout the life cycle of the event
  • Drive all aspects of the event planning cycle with internal departments to ensure that each event timeline is followed, adjusting as needed and staying within budget to move the event forward
  • Own the relationship as the primary point of contact for external event clients/partners, and the internal driving force behind the events, ensuring an effective and efficient flow of information in both directions and the event moves forward on all fronts.
  • Coordinate an overall event timeline and set of expectations for clients about what to expect during each phase of their events, including any key dates for decisions or approvals
  • Proactively follow-up with internal departments and clients/partners to obtain necessary decisions and approvals
  • Remain flexible on personal work schedule, knowing that some business partners may be in different time zones and conversations may be had before or after Sixthman business hours
  • Maintain "real time" event budget accuracy, understanding revenue streams, expense categories, and how inventory impacts the event profit for the client/partners and Sixthman; be able to properly speak to all financial pieces internally, guiding additional departments when budget adjustments need to be made
  • Lead discussions with clients/partners on financial results of events, including daily sales emails, sail today financial reports and financial pre-settlement and final settlement
  • Prepare renewal term sheets for renewing events
  • Proactively monitor the status of revenue holds, non-revenue holds, active upgrade plans, sales trends, cabin inventory, and promotions to ensure the event is tracking to plan and budget
  • Collaborate and work cross-departmentally to execute the overall event timeline in coordination with Marketing, Production/Operations, Finance, Talent Relations, Talent Buyers, Community Experience, Design, Launch, Tour Managers and other internal teams, while also serving as the final decision maker for each assigned event internally
  • Develop and maintain strong relationships with brand partners by communicating event information regularly to earn trust and familiarity, ensuring each partner feels informed and valued
  • Multi-task to run concurrent projects and prioritize workflow, knowing that each event will be in a different stage of lifecycle
  • Travel as needed to visit clients/partners face to face to help build the strength of the client relationship
  • Develop an understanding of new Business Development and participate in introductory calls

SAILING responsibilities:
  • Lead the event as an event management specialist or event management specialist assist on several multi-day festivals annually with the goal of delivering world class experience to guests, artists, and partners
  • Act as the primary day-to-day contact for the client/partner
  • Collaborate with the onboard leadership team on escalated issues, maintaining open communication with the client/partner
  • Working alongside the core event team, lead discussions and make event decisions as needed on schedule changes, overarching guest communication, and related high-profile event developments
  • Support the talent relations team or community experience specialists during execution
  • Host new business development prospects or other client/partners that may sail outside of their own events

QUALIFICATIONS AND EXPERIENCE
  • Bachelor's degree required (or equivalent experience)
  • Minimum 5 years of experience, live event or project management strongly preferred
  • Experience in the music industry or entertainment industry, interacting with agencies and/or management firms preferred
  • Proven ability to problem-solve creatively
  • Experience seeing large scale projects through the full lifecycle and proven ability to complete projects according to outlined timeline, and budget
  • Requires diplomatic skills in dealing with clients and executives.
  • Ability to lead internal departments/discussions and delegate efficiently
  • Skilled at weighing input from a range of stakeholders, clients, leadership, internal teams, and making sound, timely final decisions
  • Strong creativity balanced with strong organization skills and ability to multi-task
  • Ability to work under pressure and adapt to changes or challenges
  • Excellent interpersonal and communication skills
  • Essential soft skills include empathy, active listening, critical thinking, problem-solving
  • Proficiency in Microsoft Office
  • Experience in project management software such as Monday.com, Basecamp, Asana, etc...
  • Must be in the Greater Atlanta Area
