Position Summary Target Hiring Range: $24.83 - 27.59 Under the direction of the Community Events Manager, the Community Events Coordinator is responsible for assisting in the planning, operational logistics and execution for citywide, outdoor special events and festivals, targeting both residents and visitors. Key responsibilities include the assisting in the development of event themes, activities and logistics, coordinating vendors, coordinating contractors and musicians, updating content on social media and event websites, employing industry best practices, and utilizing excellent customer service skills. This position requires creativity, organization, teamwork and initiative

Essential Job Functions Responsible for assisting in the managing the development, planning, preparation and execution for parks and recreation department special events. Assist in the creation of activity and entertainment programming for events to include event activities, VIP experiences, volunteer management, ticketing systems, entertainers/entertainment and kids activities. Coordinates the vendor process to include but not limited to event supplies/entertainment, media purchasing -this includes getting vendor quotes, creating contracts, scheduling and collecting the appropriate paperwork while ensuring on-going communication, vendor payments, and managing those vendors.

Purchase, inventory and organize supplies used for events. Manage materials and signage needed for event production to include creating signage and working with sign vendor. Participate in the development of the annual budget for special events.

Assist in the management of the on-site production to ensure smooth execution of events including trouble shooting and clean up. Assist in determining event staffing levels and oversee internal and external work crews before, during and after events. Work with Community Events Manager to create new ways to enhance revenue and cost recovery for the city's special events.

Research and provide information to the Community Events Manager to enhance event aesthetics, activities and programs. Present follow up reports from events to the Community Events Manager and make recommendations. Maintain accurate databases and files for events and perform a variety of administrative activities.

Work with Marketing Manager to create, implement and design marketing plans for each event to promote the event to the local and surrounding communities. Work with Marketing Manager to create, update, revise and manage multiple websites' content utilizing a content management system. Conduct regular reviews of web site pages to ensure accuracy, timeliness and relevance.

Work with the city's contracted social media manager on content, contests, and timelines for all events. Utilizes exceptional customer service skills while providing a safe environment at events and festivals. Must be a team player and creative thinker with the ability to be flexible, pay attention to details and exhibit exceptional organizational skills.

Responsible for regular attendance and arriving to work on time. Education and Experience High School Diploma or equivalency required. Some college hours with a focus in Public Relations, Marketing, Tourism, Recreation, Event Management or related field preferred.

Two years related experience working in Parks and Recreation. Experience working in a fast paced, flexible environment is preferred. Employment is conditional upon successful completion of a criminal background check, drug/alcohol test and a motor vehicle review.

Knowledge, Skills and Abilities Knowledge of basic office and business procedures, city policies and rules and regulations. Ability to work with a variety of people is a fast paced, flexible environment. Ability to organize and coordinate a diverse type of events, enforce policies and procedures, make mature judgments and have regular and punctual attendance.

Willingness to physically participate in the set up and tear down of festivals and events. Knowledge of writing and design principles. General knowledge of social media.

Special Requirements: Workday is primarily normal office hours, but all of the city's special events are programmed during the evening and weekends and can involve working late nights, candidate must be able to work flexible hours. Work performed requires the ability to tolerate regular adverse conditions such as working outside in extreme weather conditions. Producing outdoor events can be physically demanding and we require all staff to assist in the setting up of events as well as the take down, this can include but is not limited to tent assembly, decor setup, sign and banner placement, pulling trash, table and chair setup, barricade placement, etc.

Licenses and Certificates: Valid Texas Class C Driver's License required Work Environment: Generally works in a climate controlled environment and requires physical effort in a variety of daily duties. Occasionally lifts of objects.
