Event Coordinators organize and oversee all the details concerning an event. They are the planners and decision-makers regarding every aspect leading up to, during, and following the occasion. This includes making bids and booking venue spaces, negotiating rates for items needed during the event, hiring staff, finding decorations, coordinating entertainment, and arranging transportation for guests. The ultimate goal is to ensure all the details come together to create an event that meets the client’s expectations.

What are the key skills and qualifications needed to thrive as an Event Coordinator, and why are they important?

To thrive as an Event Coordinator, you need strong organizational abilities, attention to detail, and experience in planning and executing events, often supported by a degree in hospitality, communications, or a related field. Staying adaptable and maintaining a positive attitude can make a significant difference in successfully handling these challenges.

Salary: $42,000-$47,000

About Shelby Farms Park Conservancy

Shelby Farms Park Conservancy (SFPC) is the nonprofit that manages and cares for Shelby Farms Park and Shelby Farms Greenline in Memphis, TN. SFPC is responsible for daily management, fundraising to meet operational budget needs, setting the vision for the Parks future, and stewarding its natural resources. SFPC team members are committed to our vision of creating a celebrated 21st-century park that defines and shapes a great city and that provides inclusive, equitable, and free access for every resident of the Memphis area.

About Shelby Farms Park

At 4,500 acres, Shelby Farms Park is one of the largest urban parks in the U.S. It features miles of trails, lakes and ponds, a buffalo herd, the Woodland Discovery Playground, the FedEx Event Center, a treetop adventure course, a sprayground, and an outdoor stage. It is a treasured asset for Memphis, offering inclusive and free access to all.

Position Summary

The Sales and Events Marketing Coordinator is the primary execution lead for all marketing activity that supports ticket sales, venue rentals, and premium park experiences at Shelby Farms Park Conservancy. This role is responsible for translating sales and marketing priorities into accurate, timely, and compelling customer-facing content across digital channels, including websites, social media, email campaigns, and onsite event touchpoints.

The Marketing Coordinator supports SFPC-produced ticketed events such as Starry Nights, Canoes & Cocktails, Afterglow, Buffalo Run, and other premium experiences, as well as indoor and outdoor venue rentals.

The Marketing Coordinator works closely with the Event Sales & Marketing Manager to implement campaigns, update content as sales pacing changes, and ensure that what customers see accurately reflects what is being sold. This role also collaborates with the Retail & Concessions Coordinator and S+Es Operations staff during events to help align onsite offerings and customer experience with marketing and sales expectations.

This is a hands-on, execution-focused role designed for someone who is digitally fluent, detail-oriented, and knowledgeable about the local events and entertainment landscape.

Core ResponsibilitiesMarketing Execution for Ticketed Events
  • Execute marketing tasks that directly support ticket sales and attendance for SFPC-produced events.
  • Build, update, and maintain event-related web content, including event descriptions, dates, pricing details, and calls to action.
  • Assist with email campaign execution by preparing content, links, and promotional details.
  • Implement promotional updates, deadlines, and messaging changes as directed by sales pacing and priorities.
  • Ensure accuracy and consistency across all customer-facing materials.

    • Ensuring SFPC venue pages follow established SEO best practices.
  • Ensure venue offerings are clearly presented, current, and aligned with sales priorities.

  • Quickly revise content based on guidance, performance feedback, or changing event details.
  • Understand and manage basic asset requirements and formats (e.g., web banners vs. digital ads vs. social posts), coordinating with designers or vendors when needed.
  • Maintain organized files, links, and version control for marketing assets.

  • Assist with influencer coordination, including:
    • scheduling visits or content windows
    • communicating expectations and deliverables
    • collecting and organizing submitted content
  • Monitor basic engagement and performance metrics and share insights with the Manager.
  • Stay informed about trends, formats, and successful event marketing approaches in the local market.

    • promotional messaging for retail and concessions
    • coordination with the Retail & Concessions Coordinator

  • Help track marketing activities, deadlines, and campaign execution status.
  • Assist with compiling post-event marketing inputs, including what messaging performed well or where customers appeared confused.
  • Maintain calendars, checklists, and documentation to support smooth execution across multiple events and offerings.
