Job description

General Statement The Event Assistant PT, under general supervision, performs a variety of duties that coordinate and support events held at the Agricultural and Event Complex. Work involves enforcing rules, regulations, and policies to ensure proper utilization of the facility in a safe environment. Oversees compliance of approved event vendors and serves as the point of contact for the public, event vendors, private groups, and public agencies while using the facilities.

Monitors events to ensure they function smoothly. Employee must be organized, exercise initiative and good judgment, and possess the ability to function in a fast-paced environment. Employee must also possess a friendly, courteous and confident personality with genuine enthusiasm.

Employee must use tact in communicating with officials, employees, vendors, and the general public. Must have excellent verbal and non-verbal communication skills; the ability to follow orders and work within a team or on one's own initiative. This position will be onsite for livestock related events.

Essential Functions Ensures the facility is returned to a clean orderly condition afterward. Ensures the general safety of guests and visitors to the Agricultural and Event Complex; conducts facility safety inspections checking for obvious hazards (spills, cords, etc.). Monitors and reports maintenance problems (i.e

lighting, plumbing, etc.) for the entire building. Performs minor repairs (i.e. replaces batteries, etc.) and light emergency cleaning (i.e

empties trash, mops spills, etc.) as necessary. Reports irregularities, discrepancies, damage of equipment and property, loss of property and equipment to supervisor, manager or director. Organizes all storage rooms to be neat and in working order

Reports need for repairs and supplies as appropriate. Clean general areas of the conference and arena facilities, including but not limited to bleachers, restrooms, livestock pins, stalls and shelters. Cleaning may include sweeping, mopping, dusting, trash removal, vacuuming, spot cleaning and washing.

Performs and/or assists with loading/unloading of deliveries. Supports the department with special projects and performs other related duties as assigned. Performs other related duties as assigned.

POSITION-SPECIFIC FUNCTIONS Client Relations Opens and closes the Agricultural and Event Complex for move-in and move-out and for scheduled events. Prepares applicable technical components (lighting, projector, microphone(s), audio visual equipment, fans, etc.) to ensure contract obligations are met. Monitors caterer compliance to Union County Standards and policies

Observes guests' behavior and reports any problems to host, caterer, and/or law enforcement as necessary; utilizes authority to discontinue event if necessary. Ensures that injured guests are assisted quickly and effectively (calls 911, completes incidents report); submits incident reports to the Risk Manager. Evacuates the facility during emergency situations; notifies the appropriate authority.

Enforces and ensures compliance with rules and regulations governing usage of the facility. Liaisons with security staff for Agricultural and Event Complex during events. Event Setup/Takedown Ensures proper facility set-up before each event meets Public Health Department and Fire Marshal requirements.

Assists with event conversions, change overs, and all other operational duties for pre- and post- event operations at the Complex, Conference Center, and Arena. Assists Cooperative Extension staff with set-up and take-down of events as necessary. Event setup may include moderate to difficult specialized setups of event equipment such as tables and chairs, moveable walls, barricades, livestock panels, gates, chutes, tarps and artificial turf.

Qualifications MINIMUM QUALIFICATIONS Education and Experience: High School Diploma or an acceptable equivalency diploma (GED), and one (1) year of experience setting up and breaking down events, customer service, special events, or general warehouse labor; or equivalent combination of education and experience. Licenses or Certifications: Must have a valid Driver's License and be able to maintain a safe driving history as defined by the Union County Vehicle Use Policy. Special Requirements: Availability to work a flexible schedule beyond normal business hours, including but not limited to early mornings, nights, weekends and holidays required.

PREFERRED QUALIFICATIONS Licenses or Certifications: Must have a valid Driver's License and be able to maintain a safe driving history as defined by the Union County Vehicle Use Policy. First Aid and CPR certification. Special Requirements: Knowledge and use of basic hand tools, power tools and agricultural equipment (e.g

tractor, skid steer). Work experience in a public contact environment. Availability to work a flexible schedule beyond normal business hours, including but not limited to early mornings, nights, weekends and holidays required.

Supplemental Information PHYSICAL DEMANDS Must be able to exert up to 100 pounds of force occasionally, and/or up to 50 pounds of force frequently, and/or up to 25 pounds of force constantly to move objects. Requires the ability to maintain body equilibrium when bending, stooping, crouching, climbing, reaching and/or stretching arms, legs or other parts of body to grasp, push, pull or otherwise move objects. Physical requirements are for Heavy Work.

WORK ENVIRONMENT Work is performed in a dynamic environment that requires the need to be sensitive to change and responsive to changing goals, priorities, and needs. Work is performed in a variety of setting to include outside, inside an enclosed livestock/equine facility, and inside and office or conference center and is subject to seasonal weather exposure.
