Intern, Meetings & Travel
Job Summary

The Meetings & Travel Intern will work directly with the Meetings & Travel team to help with different aspects of Extra Space's employee events, conferences and meetings of all sizes. The intern will specifically help with different aspects of planning the 2027 Field Leadership Conference celebrating the company's 50th anniversary. They will also help with travel bookings and processing hotel credit card authorizations. The expected start date for this role is early September.
Duties & Responsibilities

  • Assist Sr. Manager, Meetings, Events & Travel and Meetings & Travel Coordinator with organizing corporate meetings and events, as well as answering questions on company travel.

  • Help with corporate employee events including the employee Halloween event, holiday party and other in-office events.

  • Assist with planning and preparation for the 2027 Field Leadership Conference and 50th Anniversary Celebration (held in February 2027) including, but not limited to Help with buildout of event website and event app including gathering information and images, writing descriptions and data imports.

  • Participate in regular planning meetings with Executive stakeholders, content team and suppliers.

  • Attendee management - Field calls and e-mails from meeting attendees regarding questions about the meeting, travel, how to register, or changes to their registration and hotel reservation.

  • Assist with event reports and registration lists including hotel rooming lists

  • Help with ordering event supplies including name badges and lanyard

  • Printing reports and other information needed onsite

  • Gathering meeting supplies and managing shipments to and from event sites

  • Help coordinate employee travel bookings through travel management company

  • Assist with individual traveler access in Concur booking system

  • Securely handle credit card information used for travel and meeting payments

  • Assist with onsite company brand store including inventory counts, organizing reorder items, pulling items as requested by employees and department billing

  • Assist onsite at the 2027 field leadership conference with all aspects of the meeting.

  • Help manage Extra Space bookings within the office building conference spaces

Work Environment & Physical Requirements
Performs sedentary work in an office environment with some lifting (can be 20 pounds or more during events and office activities) and walking required. Also requires extensive physical movement for long periods of time when running employee events and conferences. Close visual acuity required to perform work at computer terminal. No exposure to adverse environmental conditions. Must be based in Utah. Requires repetitive typing motion, talking, hearing, grasping, and feeling.
