Evening Program Associate Jobs (NOW HIRING)

The Program Administrator provides comprehensive, effective, and efficient administrative support for the GSEP Master of Arts in Clinical Psychology with an emphasis in Marriage and Family Therapy, Evening format program. They collaborate proactively with the Clinical Training Team, Admissions, Student Services, MACLP-Evening Program Director, Associate Dean of Psychology, and other Program Administrators to achieve the functions, goals, and objectives of the MACLP-Evening program. They serve as the GSEP liaison to the BBS for verification of licensure requirements, program certification, and other licensing-related matters. They serve as the program advisor to students, support faculty and staff, oversee a Graduate Assistant, and balance ongoing activities of admissions, student orientation, retention, and matriculation.

Duties

• Manages the Program Certification process of recent on-campus and online MACLP graduates at the end of each academic term. This entails:
  • Communicating with impending and recent graduates about the Program Certification process.
  • Coordinating with academic advising, the office of practicum support, the registrar's office, and the Board of Behavioral Science (BBS).
  • Completing the Program Certification form for each graduate and submitting it to the BBS.
  • Responding to deficiency notices received by alumni from licensing boards.
• Manages BBS letter requests for alumni pursuing licensure. This includes, but is not limited to:
  • Verification of specific licensure requirements (i.e., suicide assessment and telehealth).
  • Writing letters on behalf of students who transferred programs (e.g., online to on-ground), received transfer credit, and/or completed independent studies.
• Manages the Program Certification process for MACLP graduates applying for out-of-state or out-of-country licenses. This includes, but is not limited to:
  • Responding to student questions.
  • Verifying hours with the office of practicum support.
  • Verifying academic records.
  • Completing requested documentation.
• Leads the admissions process in collaboration with the Enrollment Office and Admissions Team. This includes, but is not limited to:
  • Reviewing applications on a rolling basis, fielding inquiries from students, managing information related to admissions, maintaining an updated admissions tracking database.
• Assists the program director with the coordination of Course Coordinators in the MACLP program.
• Responds to student and faculty concerns using sound judgment and decision-making. This includes, but is not limited to:
  • Compassionate listening, research, collaborative problem-solving, guidance, and feedback.
• When appropriate, facilitates student and/or faculty communication with and connection to the appropriate GSEP and university resources.
• Supports faculty-student meetings to facilitate problem-solving.
• Provides education about catalog policies and procedures.
• Attends and assists with new student orientations at the Calabasas, WLA, and Irvine campuses.
• Recommends and assists with program policies and procedures, including revising/refining handbooks (e.g., MACLP Faculty Handbook).
• Manages, organizes, updates, and maintains accurate records, shared drives, program files, online forms, and web-based resources.
• Performs other duties as assigned. This includes, but is not limited to:
  • Scheduling meetings for MFT Committee, preparing minutes of MFT Committee meeting, assisting with GSEP events, and assisting with graduation in Malibu every year.
• Upholds the University Mission through work performed.

Skills and Qualifications

Required:

• Bachelor's degree.
• Three years of experience in counseling, social services, or a related profession.
• One year of work experience in a higher education environment.
• Fluency in Google Suite (especially Docs, Sheets, and Forms), Microsoft Office, Adobe Acrobat, Etrieve, PeopleSoft, Kronos, Courses, Canva, Instagram, Facebook.
• Attention to detail, excellent organization and communication skills, and independent follow-through.
• Familiarity with or ability to quickly develop competence in web-based applications and in the preparation of web-based content.
• Skills in writing professional memos, reports, and other communications.
• Ability to build effective working relationships with other professionals.
• Ability to work effectively on teams.

Preferred:

• Master's degree in clinical/counseling psychology or related degree.
• Clinical/counseling experience.
• Experience working in a university and graduate school setting.
• Experience working closely with graduate students.
• One or more years of experience in marketing, public relations, office management, Clinic work, DEI, and/or events planning.
• Ability to articulate a strong commitment to diversity and work effectively with individuals from different backgrounds.

This is a Regular, Nonexempt, 40 hour per week position.

Expected Pay Range: $25.70 - $28.56 per hour 

The above pay range reflects what Pepperdine University reasonably expects to pay for this position at time of posting. Actual compensation may vary based on relevant factors such as work experience, market conditions, education/training, and skill level.
