Job description

We are seeking a full-time, Patient Office Coordinator to join our growing team! We are a private hearing healthcare practice that highly values providing quality patient experiences and bringing forth new and inventive ideas. We provide a full range of services and pride ourselves in our work. This is a remote position preferably in the CST or EST. Hours are Monday-Friday-9AM-5PM.

Core Functions and Role Expectations:
  • Answer inquiries and obtain information from patients over the phone.
  • Manage patient needs and requests for appointments, service, and support.
  • Schedule patient appointments within each region considering drive times and efficiency.
  • Confirm patient appointments, maintain, and update appointment calendars promptly.
  • Register patients with third parties (if necessary).
  • Input and maintain thorough patients notes in the Practice Management software.
  • Send electronic Patient Intake Forms to new patients.
  • Send Location Info/Directions to patients.
  • Proactively partner with Providers to ensure the patient experience is efficient and seamless.
  • Check order status via our internal processes and/or through 3rd party partner portals.
  • Maintain working knowledge of the most up to date Manufacturer and 3rd Party information to provide a high standard of care with the latest information.
  • Build professional partnerships within regional 3rd Party contacts.
  • Maintain working knowledge and understanding of critical functions within adjacent departments and teams internally.
  • Maintain external positive review feedback from patients.

Professional Requirements and Expectations:
  • Operating hours and work functions to be conducted from 9am to 5pm, Monday through Friday.
  • Practice and maintain exceptional phone skills.
  • Meet all expected deadlines with documentation and processes.
  • Maintain professional and respectful working relationships with internal team members, external partners, and manufacturers always.
  • Engage in an interactive, problem-solving relationship with the patients.
  • Respond to and follow up with emails, calls and voicemails within 24 hours of receipt.
  • Seek to continually improve through training, new ways of operating and providing care.
  • Attend and be punctual for all company meetings and utilize video conferencing technology.
  • Personal information and phone numbers are prohibited. Patient Care Coordinators to use company provided devices and/or equipment for patient communication.
  • Ensure HIPAA compliance is rigorously practiced in all patient interactions.
  • Acknowledge and review Employee Handbook information and new updates.
  • Manage lunch and break times throughout each workday to maintain balance and energy levels.
