About the Role:

The Office Assistant serves as the first point of contact for customers, vendors, and employees, providing professional and friendly front-office support. This role ensures smooth daily operations by managing incoming calls, greeting visitors, assisting with clerical tasks, and supporting branch administrative needs. Working closely with the Branch Manager and team members, the Office Assistant helps maintain organized records, supports cash handling and documentation processes, and keeps the reception area professional and welcoming. Through strong communication, attention to detail, and a service-oriented mindset, this role supports overall branch efficiency while upholding the company’s core values.

Essential Duties and Responsibilities:

  • Ensure a high level of customer service is always provided
  • Greets customers, vendors, and employees with a smile
  • Addresses customer needs in a polite and respectful manner
  • Guides callers to destination and records name, time of call, and nature of business
  • Answers, screens, and routes incoming calls and takes messages as needed
  • Asks for visitor's name and notifies person called upon on visitor's arrival
  • May perform clerical duties, such as word processing, proofreading, and sorting, and delivery of mail
  • May perform a variety of clerical duties and other duties pertinent to the branch
  • Scans packing slips and attaches the digital files to the corresponding purchase orders and/or transfers
  • Maintains reception area in neat and orderly condition
  • Assists visitors and staff with questions and information
  • May schedule conference rooms and order office supplies
  • May assist at the cash window receiving cash payments from our customers
  • Perform other various duties, as outlined by supervisor

Qualifications and Physical Requirements:

  • High School diploma or equivalent
  • Willingness to participate in pre-employment and random drug screenings

  • Ability to lift and carry up to 20 lbs.
