Job description

The Epic Systems Analyst is responsible for the design, configuration, and long-term maintenance of Epic modules, with a specific focus on the intersection of Revenue Cycle and Clinical Research. This role bridges the gap between technical system build and business operations, ensuring that workflows for Professional Billing and Research are seamless, compliant, and optimized for end-user efficiency.

MAJOR RESPONSIBILITIES

1. System Build & Maintenance

  • Install, configure, and support Epic applications including Professional Billing, Claims and Remittance and Research.
  • Design and configure research workflows within the Epic Research module, including but not limited to study records, enrollment settings, BPAs, recruitment settings, and billing protocols.
  • Manage system architecture, demonstrating a deep understanding of the relationships between programs, system parameters, files, and data.
  • Identify and analyze the need for application modifications based on workflow requirements.
  • Participate in system upgrade, build and testing.

2. Research & Data Integrity

  • Manage the lifecycle: Support data collection, integration from patient records, and the management of research protocols.
  • Issue Management: Triage and manage research-specific issues (SLGs/internal tickets), providing direct support to users and escalating to Epic Technical Support (TS) when necessary.
  • Compliance: Ensure all builds adhere to regulatory standards (e.g., HIPAA) and internal research governance.
  • Security & Access: Manage workflows and account requests for study monitors and external research partners.

3. Analysis & Reporting

  • Analytics: Develop and maintain custom revenue cycle reports and troubleshoot complex data queries. Working with Decision Support team as necessary.
  • Workflow Optimization: Perform in-depth analysis of workflow data collection, report details, and system audits to identify bottlenecks.
  • Vendor Integration: Work with Epic host facility (UMC) to maintain interfaces between the EHR and external vendors (clearinghouses, credit card processors and collections).

4. Project Leadership & Collaboration

  • Project Lifecycle: Lead project planning, development, and implementation; perform positive/negative testing for complex build projects.
  • Matrix Environment: Function effectively within a matrix management structure, collaborating with application support teams to ensure integration across the continuum of care.
  • Liaison Role: Lead weekly/biweekly coordination calls (Research and PB) with Epic Technical Support (TS) to review requests and strategic decisions.
  • Change Management: Evaluate and prioritize optimization requests, distinguishing between small fixes and large-scale projects.

5. Training & Support

  • End-User Guidance: Consult with management and staff on the features and proper uses of new modules.
  • Upgrade and Go-Live Support: Provide support during system upgrades and project go-lives.
  • Training: Lead group training sessions and presentations for diverse audiences.

EXPERIENCE, EDUCATION, AND CERTIFICATIONS

  • Prior experience as an Epic Systems Analyst, Applications Specialist, or equivalent Epic role.
  • Specific experience within an Epic Professional Billing or Research Clinical Trials environment preferred.
  • 1+ years in Revenue Cycle or Research Clinical Trial preferred.
  • High School Diploma or GED equivalency required.
  • Bachelor’s Degree in IT, Healthcare Administration, or a related field preferred.
  • Epic certification or proficiency required within 3 months of hire in one of these areas:
    • Resolute Professional Billing.
    • Claims and Remittance.
    • Research.

KNOWLEDGE, SKILLS, AND ABILITIES QUALIFICATIONS

  • Advanced Epic Expertise: Technical knowledge of system analysis and a proven track record of managing complex Epic application designs.
  • Analytical Mindset: Ability to consider the business and clinical implications of technical changes within the healthcare environment.
  • Agility: Proven ability to respond to changing demands, priorities, and emerging technologies, paying close attention to details.
  • Communication: Strong interpersonal skills to maintain regular contact with end users, department managers, and vendor partners.

Key Performance Indicator: The successful candidate will own the design and implementation of process improvements that directly enhance data integrity and revenue capture while maintaining strict adherence to clinical research regulations and revenue cycle initiatives.
