POSITION OVERVIEWย 

SEO Scholars Miamiย seeksย a highly organized, proactive, and mission-driven Executive & Program Assistant to support both organizational leadership and day-to-day program operations. This role serves as a key administrative and operational partner to the Executive Director and program team, helping ensure the smooth execution of student programming, events, communications, scheduling, and stakeholder engagement.ย 

The ideal candidate is detail-oriented, adaptable, relationship-focused, and passionate about educational equity and supporting young people on their path to and through college.ย 

KEY RESPONSIBILITIESย 

Executive Supportย 

  • Manage the Executive Director's calendar, scheduling, and meeting coordination, including coordinating travel,ย logistics, and event-relatedย scheduling;ย Act as a liaison between the Miami team membersย 
  • Draft and edit emails, agendas, reports, meeting notes, andย correspondence;ย Support preparation for board meetings, donor meetings, and external presentationsย 
  • Develop strategies, trackers, and communications to ensure clarity, efficiency, and transparency across stakeholdersย 
  • Prepare and reconcile monthly AMEX reports for theย Executive Directorย and support budget monitoringย 
  • Perform administrative/clerical duties, taking memos,ย maintainingย files, and organizing documentsย 
  • Coordinate team communication and meetings;ย Assist with coordinating organizationalย and externalย meetings, and employee team building activities or special projectsย 
  • Act as liaison between Board member executive office staffย 
  • Support cross-collaborationย with Miami team andย between other SEO teamsย 
  • Support special projects and organizational initiatives as neededย 

Program Operations &ย Organizationalย Supportย 

  • Provide administrative and operational support forย the program, including virtual and in-person programmingย and eventsย 
  • Help coordinate programย logisticsย including room reservations, materials, transportation, meals, and suppliesย for Scholar programmingย 
  • Utilizeย Excel andย Salesforceย toย maintainย Scholar, family, volunteer, and partnerย data;ย Support onboarding and communication with students and familiesย ย 
  • Assistย with collection and organization of forms, waivers, and program documentsย 
  • Helpย manage the office and organizeย operational systems and administrative processesย 
  • In collaboration with Manager of Program Operations,ย assistย with survey collection, data organization, and impact reporting, as well asย invoice processingย 

Communications,ย Events & Volunteer Coordinationย 

  • In collaboration with the Manager of Development,ย assistย with donor stewardship and follow-up communicationsย 
  • Assistย withย programย eventย logisticsย and outreach efforts; Greet andย assistย visitors and volunteersย 
  • Help manage event registration, setup, and follow-up communicationsย 
  • Support Scholar Advisors and programming by coordinatingย volunteer communications, confirmations, and schedulingย 
  • Support mentor and guest speakerย logisticsย 
  • Support coordinating and drafting content for newsletters, announcements, and outreach communicationsย 
  • Assistย in planning workshops, family events, volunteer opportunities, and community engagement activitiesย ย ย 

QUALIFICATIONSย ย 

  • Bachelor's degree preferred or equivalent professional experienceย ย 
  • 1-3 years of administrative, program coordination, nonprofit, or education-related experienceย ย 
  • Strong organizational and time management skillsย ย 
  • Excellent written and verbal communication skillsย ย 
  • Ability to manage multiple priorities in a fast-paced environmentย ย 
  • Proficiencyย in Google Workspace, Microsoft Office, and database systemsย ย 
  • Experience with CRM systems, Canva, Monday.com, or Salesforce is a plusย ย 
  • Strong interpersonal skills and ability to work collaboratively with students, families, volunteers, and external partnersย ย 
  • When necessary, ability to travel locally throughout Miami-Dade County for events and program activities.ย
