Job Summary/Company: Sparks Group has partnered with a dynamic and fast-paced organization to identify a highly organized and proactive Office Coordinator. This individual will play a key role in ensuring the smooth day-to-day operations of the office while supporting facilities coordination, vendor management, and administrative functions. The ideal candidate thrives in a hands-on environment, is detail-oriented, and enjoys being the go-to resource for office needs.
Responsibilities:
  • Serve as the first point of contact for visitors and guests, ensuring a welcoming and professional experience.
  • Escort visitors to and from office suites in accordance with building protocols.
  • Manage incoming and outgoing mail, shipping, and receiving; troubleshoot and resolve delivery issues as they arise.
  • Coordinate with building amenities, including managing communication and logistics for a restaurant voucher program.
  • Oversee office supply inventory, including ordering, stocking, and organizing materials.
  • Assist with conference room setup, reservations, and preparation of meeting spaces as needed.
  • Support facilities operations by coordinating with vendors for maintenance, repairs, and general office upkeep.
  • Monitor office environment to ensure cleanliness, organization, and functionality (including kitchen and shared spaces).
  • Assist with onboarding tasks, including preparing workspaces and distributing company materials or swag.
  • Maintain documentation and support logistics for internal processes and office procedures.
  • Handle sensitive information with discretion and professionalism.

Qualifications/Background Profile:
