Job description

Receptionist Position

The Receptionist position serves as the first point of contact for the company with visitors and customers. The position requires that an individual be skilled in outstanding customer service, communication skills, professional in their demeanor and ability to prioritize tasks in order to be able to direct the flow of visitors, phone calls, emails and appointments. The position provides administrative and clerical support with occasional special projects.

Receptionist Duties:

Answer, screen, and forward any incoming calls, and facilitate inquiries while providing excellent customer service.

Maintain and update campus phone directory.

Greet visitors/vendors with a warm and welcoming attitude, assist with questions and direct them as needed.

Notify executive assistants and employee's when food has arrived for conferences, etc.

Fill out Fed Ex, UPS and DHL labels for employees shipping packages and next day envelopes to other sites or companies.

Receive building issues from employees and notify facilities or security personnel.

Perform other clerical receptionist duties such as filing, photocopying, collating, faxing, etc.

Maintain office supply inventory and order supplies for new employees requested by HR.

Maintain copier paper; check and stock toner cartridges.

Maintain seating chart for campus, create and install nameplates where needed and coordinate with hiring managers on seating for new employees. Partner with HR for space allocation issues.

Deliver and collect information for HR and payroll; administer rideshare program.

Assist with special projects.

Mail Room Duties:

Receive and sort daily mail/deliveries/couriers.

Open Northridge invoices and send to shared services for distribution and approval.

Pick up or accept invoices from Harman Northridge finance personnel.

Process invoices and other items using letter folding and letter envelope stuffing machine.

Operate letter-stamping machine for mailing letters and large envelopes, and track letter stamping equipment funds.

Monitor invoices for leased mailroom equipment and stamping equipment.

What You Need:

High school diploma or GED.

Minimum 1 year direct administrative experience.

Familiarity with postal services (i.e., US Government Client, UPS, & Fed-X).

Basic knowledge of Microsoft Office (Word, Outlook and Excel).

Computer literate and internet savvy.

Strong customer service and organizational skills.

Ability to maintain confidentiality and professional attitude at all times.

Verbal and writing communication skills.
