Job Title: Legal Assistant - Health Law

FLSA Classification: Non-Exempt 

Reports To: Practice Group Director, assigned Staff Attorney and Executive Director 

Pay Range: $23.00 - $35.00 Hourly DOE 

Inland Counties Legal Services (ICLS) is seeking a Legal Administrative Assistant to join our Health Law Practice Group. Inland Counties Legal Services, Inc. is a 501(c)(3) nonprofit organization providing free legal services to persons who are low-income, seniors, and with disabilities, residing in Riverside and San Bernardino Counties. ICLS targets services to those in the greatest social or economic need on the belief that everyone deserves access to justice.  

ICLS’s services are provided by attorneys, or paralegals under the direct supervision of an attorney. Levels of service include advice and counsel, limited action (includes negotiations and preparation of legal documents), as well as direct representation before administrative law and civil courts. ICLS provides legal assistance in a variety of legal areas, and has eight practice groups, including Elder Law, Consumer, Housing, Family Law, Immigration, Systemic/Impact, Health Law and Public Benefits. ICLS also provides legal assistance in partnership with pro bono attorneys, law students, and other volunteers in a range of projects, including a Small Business Clinic, Expungement Clinic, and others. Overview of Position 

As legal administrative assistant you will work with other experienced assistants, paralegals, and attorneys on the Health Law Practice Group to provide administrative support on a variety of assignments including conducting intake and supporting the health law hotline, assist in interpreting for clients, attend community engagement events, and provide general support to the Health Law Practice Group.

  • Assist on the Health Law Hotline, completing intake to determine applicant eligibility, and transfer the case to the assigned attorney for that day  

  • Become familiar with Legal Services Corporation regulations and other funder eligibility criteria   

  • Participate in the Compliance Task Force and review closed cases for the Health Law Practice Group (as well as other practice groups) for funder compliance issues   

  • Translate for clients/attorney meetings as requested  

  • Note, staff must take and pass a language exam to be able to translate. An additional pay increase available for folks that successfully pass the language exam   

  • Communicate with clients on behalf of the advocate, including phone calls, emails, faxes, and letters   

  • Coordinate with advocates to obtain client documents and compliance documents including, but not limited to, retainers, attestations, and representative forms 

  •  Maintain and protect highly sensitive and confidential health information  

  • Operate case file managing system organize case files   

  • Organize the team’s calendar and appointments meet with clients to complete intake applications prepare files and case records upload and review mail to assume delegated duties from the Practice Group Director, or other duties as assigned or may be required by attorneys or paralegals   

  • Train and on-board new hires/clerks for client intakes and client communication  

  • As assigned, assist PGD in grant reporting which may include analyzing data from case management system, discussing trends with the PGD, gathering and entering data in grant reports either on monthly and/or quarterly deadlines   

  • Review client and applicant files to ensure advocate’s workload is balanced, review pending and open cases on weekly and monthly basis, and ensure advocates are following up with clients/applicants in timely manner 

  • In collaboration with the PGD and/or Lead Attorney, assign new intakes and cases to advocates to ensure each advocate is assigned the appropriate number of cases per week/month.  

Desired Education and Experience 

  • Computer literate with an ability to use a variety of software programs, including Microsoft applications, e.g. Teams, Word, Outlook, Excel, etc. 

  • Ability to operate standard office equipment, e.g. copiers, faxes, telephone equipment, etc. 

  • Ability to work with minimal supervision. 

  • Minimum one year experience working in a legal office environment. 

  • Perform multiple tasks simultaneously. 

  • High School Diploma or Associates Degree preferred 

  • 1-year relevant experience 

  • Knowledge of legal terminology and legal document management 

  • Experience with Cloud-Based environments and transitioning to a paperless environment 

  • Knowledge of principles and processes for providing customer and personal service 

  • Effective oral and written communication skills 

  • Previous calendaring experience in a high-volume environment 

  • Ability to be flexible, to adapt, and act quickly when urgent matters require attention 

  • Self-motivated, takes initiative, ability to learn quickly 

  • Access to, or ability to obtain high speed home internet for remote work 

  • Language: Ability to read, write, and communicate in English with Spanish being a plus
