ABOUT THIS ROLE

Apex is seeking a highly motivated Tax Operations Analyst to join the Tax and Cost Basis team. This role is integral in supporting the full lifecycle of tax reporting and withholding operations for our introducing broker-dealers and correspondent clients. The analyst will be responsible for ensuring the accuracy, timeliness, and regulatory compliance of all tax information reporting, including 1099, 1042-S, and cost basis obligations. The ideal candidate will have experience in brokerage tax operations or financial services reporting, a strong understanding of IRS regulations governing information returns and withholding, and the ability to analyze complex data to identify and resolve issues across multiple client environments.

Key Responsibilities

  • Tax Information Reporting: Support the preparation, review, and delivery of year-end tax forms including Forms 1099-B (Proceeds from Broker Transactions), 1099-DIV (Dividends), 1099-INT (Interest), 1099-MISC (Miscellaneous Income), 1099-R (Distributions), 1099-OID (Original Issue Discount), 1042-S (Foreign Person's U.S. Source Income), and Form 5498 (IRA Contributions). Identify and resolve reporting discrepancies, process corrections, and ensure timely and accurate IRS submission.
  • IRS Filing & Compliance: Support electronic filing of information returns through FIRE and IRIS filing systems. Monitor filing acceptance, research and resolve IRS rejections, and manage correction cycles across multiple clients and form types. Ensure all reporting deadlines are met, including original filing, correction, and furnishing deadlines.
  • Withholding Operations: Monitor and support NRA (nonresident alien) withholding, backup withholding, and state withholding processes. Assist with the review and validation of W-8 and W-9 documentation, ensure correct withholding rates are applied based on treaty eligibility and account classification, and support the identification and resolution of erroneous withholding through reversal processes.
  • Cost Basis Reporting: Support the accuracy of cost basis calculations and reporting for covered and non-covered securities, including equities, fixed income, options, and mutual funds. Assist with wash sale tracking, corporate action adjustments, and the reconciliation of cost basis data between internal systems and client-facing statements.
  • Data Quality & Reconciliation: Conduct data quality reviews across client tax data to identify anomalies, missing information, and reporting gaps. Perform reconciliation between internal systems and external sources, investigate breaks, and ensure data integrity ahead of each filing cycle. Maintain and update data quality tracking tools and dashboards.
  • Client Support: Handle client inquiries and requests related to tax reporting, cost basis, withholding, and IRS notices through the service desk ticketing system. Provide timely, accurate information on 1099 and 1042-S reporting, cost basis methodology, and withholding obligations to support client satisfaction and regulatory compliance.
  • Process Improvement & Automation: Actively participate in initiatives to improve operational procedures, reduce manual intervention, and enhance data accuracy. Contribute to the development and testing of automated workflows, diagnostic tools, and reporting dashboards. Provide recommendations and insights that may influence the strategic direction of tax operations.

Preferred Qualifications

  • Experience: Minimum of 1 year in tax reporting operations, brokerage operations, cost basis, or financial services operations preferred. Bachelor's degree in finance, Economics, Business Administration, Accounting, or a related field.
  • Technical Skills: Proficiency in Microsoft Office, particularly Excel. Knowledge of SQL, data analysis, and Claude AI is highly desirable. Experience with tax reporting systems (FIRE/IRIS), BigQuery, and PostgreSQL is a plus. Familiarity with Python scripting for data analysis and automation is valued.

  • Communication: Excellent verbal and written communication skills, capable of explaining complex tax reporting concepts to clients and engaging effectively with internal stakeholders including product, development, and compliance teams.
  • Independence: Self-motivated with the ability to operate independently while also being a cooperative and constructive team player. Must be comfortable managing multiple client priorities simultaneously.
  • Detail-Oriented: Exceptional attention to detail and precision in executing tasks and projects, particularly in tax form preparation, data validation, withholding calculations, and IRS filing.
  • Adaptability: Quick learner with the ability to adapt to new challenges and regulatory changes within a dynamic environment, including annual IRS reporting updates, new form requirements, and evolving FATCA and NRA withholding rules. Must be prepared to learn and become proficient across multiple internal systems, databases, and tools used in daily operations.
