Job description

We seek an individual who has a commitment to sexual and reproductive health, rights, and justice and an interest in supporting and improving the operations of a non-profit organization. The Finance and Administration Coordinator fills a key role in our small finance and administration team. The job is primarily focused on financial operations, which requires about 70% of the Coordnator's time. Approximately 20% of this person's time will be spent on administration including supporting human resources systems, and about 10% on assisting with technology.
This position offers a structured hybrid work schedule, requiring a minimum of two days (Tuesday, Wednesday, and/or Thursday) per week in our Cambridge office with occasional requirements for in-office work on other days.
Job Responsibilities include:
  • Manage the accounts payable process including tracking requests, preparing check, wire and electronic payments, and recording transactions in accounting software and spreadsheets
  • Maintain contract, vendor, and financial files
  • Manage and enter data for payroll, credit cards and staff time tracking
  • Record and deposit checks received
  • Assist with other financial processes as needed
  • Manage the human resources software and postings and support hiring teams
  • Oversee day-to-day operations of the Cambridge office, including coordinating with building management and vendors and managing supplies
  • Support senior staff as needed, including preparations for Board meetings
  • Respond to phone and other inquiries, directing partners and the public to the appropriate person or information source
  • Manage technology purchases, provide tech orientation to new employees, and cover responsibilities for system administration (with support from an outside consultant) when the Operations Coordinator is not available

Qualifications:
  • Proficiency with Excel and experience in managing spreadsheets
  • Skilled user of laptop and software, and ability to expand IT skills
  • Communication skills, responsiveness and flexibility, ability to work across teams
  • Demonstrated ability to manage multiple responsibilities
  • Ability to work independently and exercise judgment, and to work as a team member
  • Detail oriented with attention to accuracy
  • Self-starter, organized, hardworking, able to meet deadlines

These are a plus but not required:
  • Experience in an administrative role
  • Education or work experience in accounting or accounting software
  • Experience in supporting computer users and systems

Salary: This role will be hired as a Band 1, Level 2 position, and the starting salary for this position will be
$60,069.
Location: Cambridge, Massachusetts. This position offers a structured hybrid work schedule, requiring a minimum of two days (Tuesday, Wednesday, and/or Thursday) per week in our Cambridge office with occasional requirements for in-office work on other days.
Start date: Negotiable, mid-June to early July 2026.
