Paralegal -Entry Level (5960)
Three Saints Bay, LLC is an Alaska Native holding company for the small businesses owned by Old Harbor Native Corporation. Our Corporate Headquarters is located in Anchorage, AK; our Corporate Office is in Manassas, VA; and an additional office is located in Charleston, SC.
Three Saints Bay, LLC is actively hiring for a Paralegal to join the Corporate Team.
Essential duties for this position will be to provide legal, compliance, and administrative support to Three Saints Bay, LLC and all subsidiary companies. The Paralegal will assist with multi-state business registrations, maintenance of payroll tax account information in the company's third-party payroll provider system, SBA program requirements, employment law tracking, litigation and accommodation coordination, and general office administrative functions. The successful candidate will work closely with accounting, HR, and senior management, maintain strict confidentiality, and ensure timely, accurate support across a multi-state, multi-entity corporate structure. Individual must focus on customer service; be a team player; and possess strong verbal and written communication skills.
Responsibilities and Duties:
  • Assist with registering companies in states where the company has (or will have) employees. Set up and maintain federal and state tax account numbers and related information in the company's third-party payroll provider system. The third-party payroll provider is responsible for tracking, preparing, and filing all payroll-related tax returns (including income withholding and unemployment taxes) for all subsidiaries. Provide supporting documentation and coordination as needed.
  • Support business registrations, annual reports, amendments, and related filings for Three Saints Bay, LLC and all subsidiary companies across multiple states. Track good-standing status, renewal deadlines, registered agent requirements, and maintain organized corporate entity records.
  • Assist with annual SBA filings and certifications (including 8(a) program updates), respond to miscellaneous SBA inquiries, and support preparation of new SBA applications or modifications. Compile ownership, control, and financial documentation required for SBA submissions and maintain related files.
  • Provide administrative support for legal matters, including reasonable accommodation requests under the ADA and company policy, litigation hold and document collection efforts, liaison with outside counsel, calendaring of court or administrative deadlines, and tracking of case status.
  • Assist with the research, tracking, and summarization of changes in state and federal employment laws and regulations (wage and hour, leave, discrimination, contractor-specific requirements such as SCA wage determinations, and related compliance obligations). Assist management and HR with implementation of updates and maintenance of compliance records.
  • Support filings and compliance related to excise taxes, gross receipts taxes, and personal property taxes. Coordinate with external professionals as required and maintain associated records and calendars.
  • Process, open, sort, log, and distribute incoming office mail, with priority handling of legal, tax, government, and confidential correspondence. Ensure proper routing and retention of sensitive documents.
  • Maintain organized electronic and hard-copy filing systems for corporate, SBA, employment, tax account, and legal records. Support internal audits, compliance reviews, and document production requests.
  • Prepare routine correspondence, forms, and internal communications related to the above functions. Assist with calendar management for filing deadlines, renewal dates, and legal matters.
  • Perform other related duties as assigned in support of corporate legal, tax account, and administrative operations.

Professional Qualifications/Requirements:
  • Paralegal Certificate or Associate's degree in Paralegal Studies, Legal Studies, Business, or related field required; Bachelor's degree preferred.
  • Minimum 1 year of paralegal or legal administrative experience; experience supporting corporate, multi-entity, or government contracting environments preferred.
  • Working knowledge of business entity formation and maintenance, multi-state registration requirements, and/or SBA 8(a) program requirements desirable.
  • Familiarity with employment law concepts and reasonable accommodation processes preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams). Experience with payroll systems, legal research tools, or document management systems a plus.
  • Strong organizational skills with the ability to manage multiple deadlines and priorities across entities and jurisdictions.
  • Excellent written and verbal communication skills; ability to prepare clear, professional correspondence and summaries.
  • High attention to detail, accuracy, and confidentiality. Ability to handle sensitive and proprietary information appropriately.
  • Self-starter with the ability to work independently and collaboratively in a team environment.
  • Ability to research statutes, regulations, and agency guidance and summarize findings for management.
