Who we are looking for?

We are searching for an Administrative Assistant  to join our team that is ready for a challenge and looking to make a difference. The successful candidate will provide administrative support across company-wide teams, assisting with entry-level administrative tasks, including contract and legal administration.

The Administrative Assistant will also provide general administrative support to various departments as needed, including production operations, finance, document control, inventory management, and shipping & receiving, for the core purpose of improving patient outcomes and saving lives globally.

      

Key Responsibilities:


Contract and Legal Administration

  • Maintain an organized system for managing contracts and legal.
  • Support the review process by ensuring proper documentation is distributed and filed appropriately.
  • Monitor contract renewal dates and alert relevant team members when action is required.
  • Handle legal signoffs for contracts and corporate resolutions, including routing documents for signatures, tracking progress, and maintaining compliance records.

Finance / Accounting Team Support:

  • Prepare and maintain financial documents and spreadsheets as directed by the Finance/Accounting team.
  • Handle data entry tasks, ensuring accuracy and timely completion.
  • Organize and maintain filing systems for financial records.
  • Assist in managing incoming and outgoing Finance/Accounting correspondence, including invoices, vendor communications, and internal requests.
  • Assist in preparing regular financial reports.
  • Acts as a liaison with parent company finance team ensuring effective communication between organizations.

General Administrative Support:

  • Provides administrative support to ensure efficient operation of the ofiice.
  • Answers the telephone, schedules meetings, and supports visitors.
  • Carries out administrative duties such as filing, typing, copying, scanning etc.
  • Maintains the corporate calendar and corporate directory.
  • Completes operational requirements by scheduling and assigning administrative projects.
  • Assists in making travel arrangements for senior staff such as booking flights, hotels, or restaurant reservations.
  • Provide administrative assistance to other departments as needed, including scheduling meetings, preparing documents, and handling mail distribution.
  • Support the organization and management of common office areas, ensuring they are clean and well-maintained.
  • Maintains inventory levels of office supplies by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Assists with the preparation of monthly townhalls and other company wide meetings and events.
  • Help prepare reports, presentations, and other documents for cross-departmental use.
  • As needed, act as a liaison for coordinating with external vendors and service providers.
  • Maintain an organized document filing system within the document control room and support other document control activities as required.

Production Operations & Shipping/Receiving Support

  • Review manufacturing records and related documentation (e.g., BOMs) to ensure production activities are accurately documented and completed in a timely manner.
  • Perform ERP inventory transactions, including material picking, inventory receipt, and component reconciliation.
  • Support shipping and receiving activities, including picking, packing, preparing shipping documentation, receiving incoming materials, completing required inspections and checks, and placing materials in the appropriate storage locations.
  • Support material handling activities by operating a pallet jack and picking, moving, storing, and supplying materials to Production to ensure efficient workflow and uninterrupted manufacturing operations.
  • Assist with inventory counts and support inventory management activities to help prevent material shortages.


Education, Work Experience, Knowledge, and Skills:


Formal Education:

  • High School Diploma required. Post-secondary education in Office Administration, Finance, or a related field is preferred.

Work Experience:

  • Previous experience in an administrative or clerical role is beneficial but not required.

Skills and Knowledge:

  • Strong organizational skills with attention to detail and
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with digital filing systems.
  • Excellent written and verbal communication
  • Ability to manage time effectively and prioritize tasks in a dynamic environment.
  • Familiarity with basic finance or legal terminology is an asset but not required.
  • A positive attitude with a willingness to learn and adapt to new tasks.
  • Ability to work independently with minimal supervision.
  • Availability to work during regular office hours (Monday to Friday) with occasional overtime if required.
  • Willingness to support different teams and adapt to varying administrative needs.

The starting salary for this position ranges from $45,000 to $50,000 annually, depending on the candidate's experience and qualifications. Our salary structure is aligned with market standards and is finalized considering factors such as job-related expertise, skills, education, and experience.
