Position Summary


The Senior Deposit Operations Analyst is an expert individual contributor responsible for executing and improving deposit operations processes. Key duties include managing exception items, resolving disputes, reviewing new accounts, performing reconciliations, supporting legal and compliance documentation, handling customer research requests, and enhancing procedures across departments. This role provides advanced operational support, resolves escalated issues, shares expertise on Bankwell's core banking system, and ensures regulatory compliance. Success requires strong organizational and analytical skills, regulatory knowledge, attention to detail, adaptability, and the ability to work both independently and collaboratively in a fast-paced environment. The ideal candidate is a proactive, customer-focused problem solver dedicated to continuous process improvement.


Key Responsibilities:


Exception Item Handling: Review and process Exception Items, including non-posted, NSF, stop payments, positive pay items, and Fed adjustments, ensuring timely resolution, compliance with regulations, and minimal impact to customer accounts. Resolve client disputes (check, ACH, wire, and debit card).


Transaction Processing: Accurately process and reconcile internal branch transactions, ensuring adherence to internal policies, regulatory guidelines, and industry best practices. Execute and validate complex daily deposit operations tasks, ensuring accuracy and compliance. Manage ICS and CDARS requests, customer research inquiries, and legal service of process requests. Support asset verification and audit requests. Administer unclaimed property processing and escheatment.


Operations and Core Banking System SME: Serve as a Subject Matter Expert for the core banking system and deposit operations, providing guidance, troubleshooting efforts, and support across departments to ensure optimal system performance and utilization. Resolve inquiries from internal departments and escalate issues when necessary.

Inventory Monitoring: Monitor debit card plastics and carrier inventory.


Deposit Review: Conduct thorough reviews of ATM and Mobile deposits, verifying compliance with bank policies and ensuring accurate transaction processing and exception resolution when necessary.


Annual Tasks & Regulatory Compliance: Assist with the preparation and processing of annual tasks, such as tax forms, IRA statements, and end-of-year notices. Stay up to date on relevant banking regulations and complete the training courses required to ensure continued compliance.


Procedure Creation & Updates: Contribute to the creation, revision, and documentation of departmental procedures and best practices to ensure consistency, efficiency, and regulatory compliance. 


Training: Train colleagues on new and updated procedures; train new hires on systems, tasks and procedures.


Departmental Support: Collaborate with and provide expert support to other departments on deposit and electronic banking-related matters. Proactively address inquiries and research requests to maintain smooth operations.


Backup Support: Provide back-up support for other Deposit Operations and Payment Operations personnel, stepping in as needed to maintain seamless operations. Assist VP- Operations Assistant Manager with collaborative work efforts with cross-functional teams (Compliance, Risk, Finance, IT, Branch Operations) to resolve complex issues and support strategic initiatives.


Continuous Improvement: Identify areas for process improvements and recommend enhancements to optimize workflow and ensure regulatory compliance. Support interdepartmental efforts to improve operational efficiency, streamline procedures and implement best practices. Maintain up-to-date knowledge of regulatory requirements and industry trends, recommending enhancements to policies and procedures.


Quality Assurance and Controls: Review and validate file maintenance changes and issue non-conformances where appropriate. Verify new account documentation for accuracy and regulatory compliance (DDA, SAV, CD, IRA, etc.). Ensure adherence to operations control narrative.


Reporting and Reconciliation: Ensure timely and accurate reconciliation of key accounts and general ledgers; Compile and deliver monthly reports (IOLTA, IORETA, Reg. O, Dormancy, Finance, etc.)

Qualifications & Skills

  • High school diploma required; college degree preferred
  • Minimum of six years' experience in the banking industry, ideally in retail banking or deposit operations
  • Proven critical thinking skills to evaluate information and make sound, logical decisions
  • Experience with using bank core banking systems and online banking platforms
  • Exceptional attention to detail and accuracy in a high-volume environment
  • Strong organizational and time management skills; ability to prioritize multiple tasks independently
  • Self-motivated and able to work both independently and in a team setting and support cross-functional projects
  • Excellent verbal and written communication skills
