About the Role
We are seeking a motivated, organized, and detail-oriented Human Resources & Office Assistant to join our administrative team. This entry-level position is ideal for someone interested in developing a long-term career in Human Resources, Office Administration, and Operations Management.
The selected candidate will receive hands-on training in all aspects of HR administration while supporting a single-state administrative unit with approximately 60 full-time employees and assisting with workforce-related reporting and administrative processes for an aggregate workforce of approximately 250 full-time and part-time employees.
In addition to HR responsibilities, this role will assist with office operations, facility coordination, technology support coordination, and general administrative services to help maintain an efficient and professional work environment.
Human Resources Responsibilities
- Assist with daily HR administrative functions and employee support activities
- Maintain employee personnel files and ensure documentation compliance
- Support recruitment activities including posting jobs, scheduling interviews, and onboarding new hires
- Assist with employee orientation and training coordination
- Track employee certifications, licenses, and required trainings
- Assist with employee benefits administration, leave requests, and payroll-related documentation
- Process payroll in QuickBooks Online while maintaining and monitoring employee time records through QuickBooks Time.
- Assist with preparation and submission of state and federal employment reports
- Support aggregate liability insurance reporting and related documentation processes
- Maintain HR databases, spreadsheets, and electronic records systems
- Prepare correspondence, reports, and HR-related communications
- Assist with employee relations matters and special HR projects as assigned
- Maintain confidentiality of employee and organizational information
- Help monitor compliance with company policies and applicable employment regulations
Office Administration & Operations Responsibilities
- Coordinate with employees and building management regarding office maintenance, repairs, safety concerns, and facility-related issues
- Serve as a liaison between staff and IT support personnel/vendors regarding computer, printer, phone, software, and network connectivity issues
- Coordinate employee workstation setup, office moves, and basic office equipment needs
- Assist management with employee furniture, workspace, and office supply requests
- Monitor office supply inventory and assist with ordering administrative and operational supplies
- Help maintain an organized, professional, and efficient office environment
- Coordinate vendor visits, maintenance appointments, and service requests as directed
- Assist with conference room scheduling, mail distribution, and general office workflow coordination
- Track and report facility and technology issues to ensure timely resolution
- Support leadership with special administrative and operational projects as assigned

Qualifications
- High school diploma or GED required
- Associate degree or coursework in Human Resources, Business Administration, or a related field preferred
- Previous office, administrative, customer service, or clerical experience preferred but not required
- Strong organizational skills and attention to detail
- Ability to manage confidential information professionally and discreetly
- Proficiency with QuickBooks Online applications and Microsoft Office 365 applications including Word, Excel, Outlook, Teams, and SharePoint preferred
- Strong written and verbal communication skills
- Ability to multitask and prioritize assignments in a fast-paced environment
- Positive attitude and willingness to learn
- Strong customer service and interpersonal skills
- Basic troubleshooting and coordination skills related to office technology are a plus
