IMMIGRATION FILE CLERK

Seattle, Washington | Full-Time | On-Site

$45,000-$50,000 per year, depending on experience

MacDonald Hoague & Bayless (MHB) is seeking an organized and dependable Immigration File Clerk to support our immigration practice. This entry-level position is ideal for someone who takes pride in accurate work, enjoys creating order, and is comfortable working in a busy, deadline-driven environment. The File Clerk will work with the Legal Practice Coordinator, attorneys, and paralegals. Training will be provided.

Key Responsibilities
  • Receive, sort, scan, name, save, and distribute correspondence from USCIS, other government agencies, clients, and third parties.
  • Confirm that documents are complete and legible; organize PDFs, maintain digital files, and enter routine information in case-management systems after training.
  • Support new-client intake by collecting basic information, conducting preliminary conflict-check intake, scheduling consultations, and tracking required payments and documents.
  • Prepare immigration filing packages by printing, scanning, copying, collating, tabbing, organizing exhibits, coordinating signatures, and completing checklist-based reviews.
  • Send filings through approved delivery services; retain copies; update records; and assist with file retrieval, closing, archiving, and other on-site administrative tasks.
  • Follow established procedures and promptly flag missing information, conflicting instructions, or deadline concerns.
Qualifications
  • High school diploma or equivalent education or training.
  • Exceptional attention to detail and ability to follow multi-step written procedures consistently.
  • Strong organization, reliability, sound judgment, professional communication, and commitment to confidentiality.
  • Comfort with digital files and ability to learn new software, databases, and case-management systems quickly.
  • Ability to work on-site and handle mail, scanning, copying, and document-package assembly.
Preferred Experience

Prior law firm or office experience is helpful but not required. Experience with immigration, high-volume document processing, Adobe Acrobat, Microsoft 365, SharePoint, or case-management software is a plus.
