Description:Health Information Management Clerk I

Position Summary

Responsible for the maintenance of patient’s medical records, ensuring accurate documentation, appropriate releasing of records, and maintaining HIPAA requirements through daily responsibilities.

Key Accountabilities

  • Retrieves and releases medical records promptly for all authorized individuals and agencies in accordance with HIPAA requirements and timelines, in all requested available formats.
  • Scans, imports and/or files all medical records into the correct patient chart as outlined in accordance with policies and procedures.
  • Checks filing shelves for the accurate and correct filing of patient information when offline processes are required.
  • Follow and understand the retention and destruction process per policy.
  • Clearly understand the Health Insurance Portability and Accountability Act (HIPAA) regulations. Maintains the confidentiality and privacy of all patients’ personal information.
  • Attend scheduled and complete all training that pertains to the hospital as a whole or to the Health Information Department. Attend Health Information Management department meetings.
  • Keeps department clean and neat in accordance with safety and infection control requirements.
  • Follows policies and procedures to contribute to the efficiency of the Health Information Department.
  • Perform entry level data entry into the patient chart as needed.
  • Perform any other duties assigned by the department manager.

Position Requirements and Qualifications

  • Basic skills in filing alphabetically as well as numerically filing principles, sorting, keyboarding, organizing and prioritizing work in a timely manner, using interpersonal skills effectively to build and maintain cooperative relationships, reacting and performing under pressure to accomplish multiple tasks. Proficiency in these skills, desired.
  • Knowledge to operate various types of office equipment including a computer, fax, copier, phones, and scanner.
  • Able to follow written as well as oral instructions.
  • Familiar with medical terminology, desired.
  • Use of Cerner EHR, desired.
