Job description

Operations & Data Associate

This is an excellent entry-level opportunity for a tech-savvy, detail-oriented person who loves learning new software and bringing order to data. The Operations & Data Associate will be trained to become our in-house go-to person for the software platforms that run our business. Day to day, you will do data entry across our systems, help produce reports, keep information organized, and build the skills needed to support a growing small business. We are open to recent graduates, career changers, and current college students looking for part-time work. You do not need prior experience in restoration or with our specific software. We will train you. What we are looking for is someone who picks up new tools quickly, pays close attention to detail, and takes pride in getting the little things right.

Responsibilities

Learn and become the in-house go-to person for the software platforms we use, including Xactimate, QuickBooks Online, iCat inventory software, PSA Proven Jobs by Canam, and our Esporta IS-4200 textile cleaning system. Perform accurate and timely data entry across systems (jobs, estimates, inventory, time, invoices). Check that data is consistent between platforms and clean up errors or gaps when you find them. Help prepare and submit invoices in QuickBooks Online and insurance carrier portals. Help keep job and inventory records in iCat accurate and up to date from pack-out through pack-back. Pull weekly and monthly reports (job costing, labor, revenue, AR aging, etc.) using Excel or Google Sheets. Help build and maintain simple dashboards for the owner and project manager. Support the estimating process by learning Xactimate and helping build macros and templates. Help document how we use our software (step-by-step guides and checklists) so the whole team can follow the same process. Provide basic day-to-day tech support: user accounts, printers, email, mobile devices; coordinate with outside IT vendors when needed. Support the bookkeeper and CPA by pulling exports and organizing records. Look for opportunities to reduce repetitive work and suggest better ways to do things.

Qualifications

A desire to serve your community and be a team player. Strong comfort and curiosity with technology โ€” you enjoy learning new apps and figuring out how things work. Comfortable with Microsoft Excel or Google Sheets (basic formulas at minimum; willingness to learn pivot tables, lookups, and charts). High attention to detail โ€” you notice when something does not add up. Good written and verbal communication skills. Strong organizational and time management skills. Ability to work independently, follow through, and ask good questions when stuck. Reliable and dependable โ€” shows up on time and does what they say they will do. Valid driver's license and a clean driving record. Education: High school diploma or equivalent required; current college students and recent graduates are encouraged to apply. Prior work experience is not required. Any experience with data entry, office work, customer service, or tech support is a plus. Experience with QuickBooks, Xactimate, iCat, or similar business software is a plus (but not expected).
