Job Description:

4LEAF is seeking a full-time Entry Level Proposal Writer/Marketing Assistant for our Pleasanton office. This position requires excellent verbal and written communication skills, strong attention to detail, organization, time management, and the ability to manage multiple deadlines in a fast-paced, collaborative environment.


The Marketing Assistant / Proposal Writer will support proposal development, marketing content management, and related marketing initiatives. This role is responsible for assisting with the development, coordination, writing, editing, formatting, production, and delivery of high-quality proposals, qualification packages, presentations, and marketing materials.


The ideal candidate is resourceful, proactive, highly organized, self-directed, and comfortable working with project managers, directors, subject matter experts, and marketing team members to produce accurate, polished, and timely materials.


Responsibilities:


Proposal Development:

  • Review RFPs to identify requirements, deadlines, win themes, and submission criteria.
  • Manage the proposal process from RFP receipt through final delivery, coordinating with project managers, directors, and subject matter experts.
  • Draft, edit, format, and assemble proposals, qualification packages, presentations, and related submittals.
  • Ensure all submissions are client-focused, technically accurate, well-written, and aligned with brand guidelines.
  • Develop original content as needed, including project descriptions, staff qualifications, firm experience, and value messaging.

Content and Data Management:

  • Create and maintain reusable proposal content, including resumes, project descriptions, client data, photos, graphics, and value messaging.
  • Support fact-checking, version control, and quality control of marketing content and templates (Word, PowerPoint, Excel, InDesign).
  • Maintain digital assets, marketing data, and internal content libraries.

Marketing Support:

  • Assist in developing marketing communications across print, web, email, social media, and presentations.
  • Attend conferences and events to represent 4LEAF, support logistics, and promote services.
  • Develop a strong understanding of 4LEAF's service lines — including planning, building and safety, engineering, construction management, inspection, code enforcement, and fire consulting — to produce accurate, compelling content.
  • Coordinate events, sponsorships, and promotional materials.
  • Maintain marketing tracking systems, collateral inventory, and promotional items.
  • Conduct competitive research and other marketing support as directed.
Requirements:

Qualifications / Experience:

  • Bachelor's degree in English, Marketing, Journalism, Communications, or related field preferred.
  • 1–3 years of proposal, technical, or marketing writing experience, ideally in B2B/B2G professional services; construction, engineering, or municipal consulting a plus.
  • Strong writing, editing, proofreading, and content organization skills with a creative and persuasive voice.
  • Solid project management skills — organized, self-directed, able to multi-task and meet deadlines.
  • Strong interpersonal skills; able to collaborate effectively with internal teams and subject matter experts.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook), including advanced formatting, templates, and styles.
  • Knowledge of visual design principles; Adobe Creative Suite (InDesign, Illustrator, Photoshop) preferred.
  • Experience with digital asset management, CRM, or marketing databases a plus.

Working Conditions:

  • General office environment.
  • Regularly requires working in a seated position at a workstation for extended periods.
  • Occasionally may require lifting up to 20 lbs.

Job Type:

  • Monday to Friday, 8:00 a.m. to 5:00 p.m.
  • 15-20% Travel required

Compensation:
4LEAF anticipates paying between $70,304 – $94,200 per year for this position, commensurate with experience.
