Job description

Entry Level: Office Services Clerk

Kluever Law Group, a boutique Chicago law firm is currently seeking a new member to join our team and work within our Foreclosure/Mortgage Servicing Practice Group.

This role operates in a fast-paced, highly regulated industry, serving large financial institutions. Meeting tight deadlines and adhering to compliance standards are essential.

  • The position is hybrid with 2 days onsite and 3 days remote
    • Please note that this may change based on business demands.
  • Strong candidates will be able to work independently; problem solve and be comfortable with a heavy focus on working within case management systems.

Schedule: Work hours are Monday-Friday 8:30am-5:00pm, but we are willing to accommodate and provide reasonable flexibility.

Responsibilities:

  • Receptionist Duties – Taking phone calls, documenting case management system, routing calls to appropriate attorney or paralegal.
  • Printing and Mailing – Be onsite two days a week (Tuesday and Thursday) to handle printing and mailing needs for the firm.
  • Original Document Custodian – Handle original collateral files as they come into the office, properly log them, ensure their storage in the secure safe, provide them to attorneys for court when required, and return them to clients when no longer needed.
  • Court and County Runs – Going to Cook County Court House and Chicago City Hall to drop off or pick up filings, recordings, or other documents when needed.
  • Escalations - Identify and escalate unusual or complex issues to supervising attorneys and clients.
  • Electronic Filing – Filing pleadings and other court documents electronically.
  • Internal and External Communication – Providing clear, professional, and relevant communications to clients, vendors and colleagues via case management systems, phone, and email.

Experience and Skills:

  • Detail Oriented - As our clients are federally regulated financial institutions, strict compliance with applicable regulations, policies, procedures, and system processes is required.
  • Judgment - Must be comfortable taking the initiative to promptly collaborate with and seek help and input from supervisors, managers, and attorneys.
  • Independent - Must be a self-starter, dependable and reliable.
  • Multi-Task - After training is completed, you must have the ability to work independently and prioritize various tasks on the workload.
  • Technological Competence – Ability to learn and navigate various case management systems. Identify opportunities to improve systems and leverage integrations/automations to streamline workflow.
